About The Position

The George Mason University's Office of University Career Services is seeking a part-time (20 - 25 hours per week) On-campus Internship Coordinator for project management and administrative support to the On-campus Internship Program and related internship-focused projects. The On-campus Internship Coordinator will serve as the manager and main point of contact for the On-campus Internship Program (OCIP), now in its third year. The program, funded through University Life and administered by University Career Services, seeks to expand the opportunities for on-campus internships for students who face challenges to gaining experience off-campus. The On-campus Internship Coordinator will work closely with university offices and supervisors participating in the Program and report to the Associate Director of Programs and Outreach. This position will also support other internship-related efforts operating out of University Career Services. The position requires regular on-campus, in-person presence, with the telework schedule approved by the Associate Director of Programs and Outreach. This position will support a variety of functions, including but not limited to creating and managing project timelines and resources, collaborating with offices across campus, developing and refining standard operation procedures to facilitate a consistent experience, ensuring program requirements are known and met, and reporting program outcomes to relevant stakeholders.

Requirements

  • Demonstrated computer skills, including Microsoft Word, Excel, PowerPoint and Teams;
  • Demonstrated organizational and planning skills;
  • Demonstrated experience successfully organizing/administering projects, programs, or events as part of a collaborative team;
  • Demonstrated written and verbal communication skills with an ability to establish firm expectations with diverse stakeholders (e.g., faculty and administrative offices), especially via email;
  • Attributes that provide attention to detail;
  • Ability to learn new technologies and/or platforms; and
  • Experience building relationships/partnerships across teams or functions.

Nice To Haves

  • Knowledge of data collection and reporting program outcomes;
  • Program or project management experience in a university or other educational environment; and
  • Experience in developing student/intern onboarding materials, especially in PPT or in a learning management system (i.e. Canvas).

Responsibilities

  • Manage the program timeline of activities, including setting and enforcing deadlines for participating units (25+), creating and updating program documents/templates, and tracking student/supervisor participation as well as completion of program components. Follow up as needed;
  • Regular correspondence with site supervisors related to planning, expectations, next steps and challenges;
  • Coordinate review of recorded practice interviews for each participating student (~40) and provide feedback via InterviewPrep platform as necessary;
  • Collaborate with the Growth program administrator to ensure participants complete required assessments and receive their Career Readiness Inventory each semester;
  • Responsible for tracking program expenditures (i.e., 40+ interns' wages), ensuring pay rate is set at appropriate levels and billed to the correct account in coordination with budget manager(s); and
  • Provide resume review support and shortlist candidates for internship positions with large applicant pools (100+).
  • Provide outreach to campus units/offices to recruit and on-board new internship sites, including working with potential supervisors, HR, and budget administrators in interested units;
  • Support events (webinars, trainings, etc.) associated with promoting on-campus internships and other on-campus employment initiatives;
  • Consult with supervisors developing position descriptions and learning objectives for their internship positions, including offering best practices and clarifying program requirements;
  • Support efforts to market program and individual internships to relevant offices and students, including developing content (text) for program websites and student newsletters in relevant departments;
  • Design and deliver orientation webinars for participating students at the beginning of each semester; and
  • Participate in University Careers Services and University Life required meetings, events and symposia.
  • Administer end of internship surveys (virtual) for interns and supervisors each semester;
  • Prepare end-of-year summary reports to include relevant recommendations for continuous improvement and develop presentation slides/related materials for program stakeholders; and
  • Support efforts to collect student success stories and impact statements from students and supervisors.
