About The Position

The Division of Capital Asset Management and Maintenance (DCAMM), which oversees over $2 billion in capital programs and projects, is responsible for capital planning, project delivery, property management, and real estate services for the Commonwealth. DCAMM is a central agency in implementing several key policy priorities of the Healey-Driscoll Administration, including promoting decarbonization and climate resilience in all state facilities, identifying and facilitating opportunities to repurpose underutilized state property for housing production, and increasing the participation of underrepresented groups in public construction contracting and in the public construction workforce. The Program Coordinator I provides administrative support and office management within the Office of Facilities Management and Decarbonization (OFMD) at the Massachusetts Information Technology Center (MITC). This position works under the direction of the MITC Facility Manager. This position is not eligible for hybrid work.

Requirements

  • Applicants must have at least (A) two years of full-time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.
  • Substitutions: I. A Bachelor's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. II. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Nice To Haves

  • Work experience in facilities operations and management.
  • Knowledge of standard facility management practices.
  • Experience utilizing computerized maintenance management systems.
  • Computer proficiency, including the ability to develop and analyze spreadsheets, databases and reports.
  • Experience in TRIMBLE, CAMIS, etc.

Responsibilities

  • Coordinates and tracks service requests, building occupant concerns, and work orders through the Capital Asset Management Information System (CAMIS)
  • Receive, coordinate and disseminate requests, both internal and external, to appropriate DCAMM staff for resolution.
  • Process work order requests and tenant complaints through CAMIS.
  • Prioritize, organize and expedite the flow of work including scheduling appointments and coordinating necessary arrangements for meetings and conference rooms.
  • Compose letters, correspondence, reports, financial and budgetary forms, etc.
  • Inform and interpret policies and procedures to building customers and employees.
  • Communicate effectively with building contractors, maintenance personnel and cleaning supervisors.
  • Maintain confidential records and files.
  • Coordinate the handling of records to be archived including documentation, inventorying and labeling records, preparing standard request forms and coordinating retrieval of records on an as-needed basis.
  • Act as liaison to the IT Helpdesk.
  • Coordinate supply orders for the unit.
  • Other duties as assigned.
