About The Position

The incumbent will provide technical, programmatic, and administrative services on an OVC award supporting the National Mass Violence Center (NMVC). This position will be responsible for administering programmatic and administrative activities related to the Response, Recovery, and Resilience Division for the NMVC Division. This position will coordinate community correspondence, organization and tracking of services and activities, and program coordination with mass violence impacted communities. This position will work closely with the Director of Response, Recovery and Resilience Division on outreach, support, resource tool development, as well as scheduling and planning of Director and Response team members’ meetings and activities. Duties will involve working with communities impacted by mass violence in a trauma-informed and victim centric manner.

Responsibilities

  • With guidance from the NMVC faculty, this position will assist in coordinating Response meetings and activities for all communities identified. This includes scheduling and confirming, organizing, and attending response consultation meetings with state and local agencies of mass violence impacted communities. Ensure invites sent and list of contacts maintained. Ensure that these activities are captured in an excel database tracking system. This also includes follow up on all action items identified during said meetings.
  • Assist in the daily organization, communication, and tracking of direct consultation and support of Director of Response Division, team members and consultants to mass violence impacted communities. Draft clear, accurate, and polished correspondence and talking points for the Director’s review or direct dissemination. Will work closely with Director to ensure communication with State and local providers and agencies are tended to in a timely fashion with requests and action items organized, tracked, and followed up. Represent the NMVC with diplomacy, discretion, and professionalism in all interactions. Communicate effectively and respectfully with a wide range of individuals, including victims/survivors, victim service professionals, local organizations, and state government representatives.
  • Work closely with Response consultants to ensure tracking of activities is captured in a timely fashion.
  • Assist in the coordination of monthly partner meetings; quarterly ‘all’ partner meetings as well as communications with approximately 20 partners. Ensure invites sent, agendas prepared and disseminated, roll call taken and recorded, meeting minutes completed and disseminated, add new members to tracker, organize new files on shared box from members, attend meetings serving as point and assist with tech issues. This also includes follow up on all action items identified during said meetings. All agendas, roster of attendees and meeting notes will be retained in a location accessible to project team.
  • Assist with coordination on project deliverables of the NMVC related to the Response Division. This entails tracking progress on the goals and objectives related to each deliverable. The incumbent meets with partners, consultants and contractors at regularly scheduled times and monitors project progress against project objectives. They will ensure that the meeting schedule is followed, invites sent, agendas prepared and disseminated, roll call taken and recorded, meeting minutes completed and disseminated, add new members to tracker, organize new files on shared box from members, attend meetings serving as point and assist with tech issues. This also includes follow up on all action items identified during said meetings. All agendas, roster of attendees and meeting notes will be retained in a location accessible to project team. These milestones will be documented in the tracking system for weekly presentation to each of the Division Directors within the NMVC.
  • Oversee and organize 1 Forum and assist other Forums where necessary to ensure that the schedule is followed, invites sent, agendas prepared and disseminated, roll call taken and recorded, meeting minutes completed and disseminated, add new members to tracker, organize new files on shared box from members, attend meetings serving as point and assist with tech issues. This also includes follow up on all action items identified during said meetings. All agendas, roster of attendees and meeting notes will be retained in a location accessible to project team.
  • Assist with the organization of bi-weekly Response TTA for OVC Program Manager.
  • Coordinate travel for Director of Response Division including booking travel and travel reimbursements.
  • Conduct other duties as assigned.
