About The Position

The Program Coordinator for the Office of Undergraduate Research (UGR) plays a central role in supporting and advancing the mission of UGR by managing the day‑to-day administrative operations of undergraduate research programs and initiatives. This position provides essential coordination across all programmatic activities, ensuring smooth planning, execution, and assessment of UGR efforts. Working in close collaboration with the Director of Undergraduate Research, the Program Coordinator supports programs from inception through completion. Responsibilities include organizing and implementing key initiatives such as recruitment events, workshops, trainings, student research symposia, travel to conferences, and other program‑related activities. The coordinator manages program communications, advertisement, applications, participant tracking, and ongoing assessment to ensure program quality and effectiveness. Additional responsibilities include identifying and managing program funding and maintaining accurate program records and reports.

Requirements

  • Master’s degree in higher education administration, education, communications, business administration, or a related field.
  • A minimum of two (2) years of experience coordinating academic or student‑focused programs/events in a higher education setting.
  • Any equivalent combination of related education and/or experience will be considered.

Responsibilities

  • Coordinate and manage the day-to-day operations of the Office of Undergraduate Research (UGR) and all its programs: payroll management, awards to students and faculty, space reservations, vehicle rentings, etc.
  • Maintain budget and track expenditures/transactions as required.
  • Lead the organization of WVU Undergraduate Research Symposia.
  • Lead educational trips and escort students to local, national, and international research conferences.
  • Lead the social aspect of the UGR summer and academic year programming (i.e. Ice Cream Social, Meet the Mentors Mixer, Cookies with Researchers, team building activities, and others).
  • Develop and coordinate the campus awareness of the UGR programing and external research opportunities through newsletter, social media, website, tabling at events, and university communications.
  • Maintain records with data available and provide as needed to students, faculty, departments, and administrators.
  • Supervise graduate students and undergraduates who assist in the Office of Undergraduate Research as needed.
  • Correspond with alumni and track their graduate and professional school pursuits.
  • Represent (along with the UGR Director) the Office of Undergraduate Research and its programming to internal and external constituencies.
  • Assist with grant renewal, grant reporting processes and the Office of Undergraduate Research annual report.
  • Serve on college/university committees representing the Honors College.
  • Develop and maintain cooperative relationships with units inside WVU, especially the Mountaineer HUB, Shared Services, Honors College, ASPIRE and Pre-Health Offices.
  • Other duties as assigned
