About The Position

The Program Coordinator for the Center of Excellence for International Strategic Studies at Spelman College is responsible for managing and coordinating the day-to-day administrative and budget activities of the grant-funded program. This role involves providing administrative support to program leadership, managing budget and procurement functions, and ensuring effective communication and data management within the program.

Requirements

  • High school diploma and a minimum of five years of administrative and/or project management experience, preferably in a college/university setting.
  • Excellent oral and written communication skills.
  • Strong interpersonal skills and customer service focus.
  • Professional demeanor with the ability to interface with internal and external constituents with respect and confidentiality.
  • Ability to plan, prioritize, and organize a diversified workload with attention to detail.
  • Ability to work effectively under pressure and demonstrate initiative.

Nice To Haves

  • Bachelor's degree preferred.
  • Educational background in International Affairs or Political Science is a plus.

Responsibilities

  • Provide administrative support for the grant-funded program leadership by responding to emails and phone messages about the Program.
  • Coordinate meetings hosted by the Program leadership, including core personnel and Steering Committee.
  • Interface with key units of the College to manage activities.
  • Maintain the calendar of key program events, websites, and social media accounts.
  • Maintain a database of key announcements and invitations from the grant funder and other organizations.
  • Manage budget and procurement functions for the program, including placing orders and monitoring shipments.
  • Work with Accounts Payable to ensure prompt approval and payment of invoices.
  • Monitor and reconcile program budget and documents related to expenditures.
  • Maintain inventory of and order office supplies.
  • Arrange travel for faculty/staff and process travel expense reports.
  • Prepare quarterly grant financial reports for funder and process paperwork for stipends and payments.
  • Develop methods for tracking, maintaining, and archiving confidential files and reports.
  • Create and maintain spreadsheets and shared drives for data management.
  • Conduct research to identify best practices beneficial for the research enterprise at the College.
  • Assist with the collection and storing of documentation related to shared service agreements and policies.
