Assists Study Away director and Program Coordinator in managing short-term, non-credit, and clinical student travel programs, registration, and support. Administrative support for Study Away portal for individual travel registration and group short term and non-credit programs, including requirement tracking and review, portal updates, and troubleshooting. In person reception support for Study Away on Center City Campus, serving as primary source of contact for students and initial point of contact for faculty and units planning student travel following Study Away’s policies and procedures. Supports study away director and program coordinator to update and manage campus communications for short term travel, travel registration portal, travel risk review, and travel alert monitoring. Assists Study Away Director and Program Coordinator with Study Away events, orientations, and assessment. Assists Study Away with general administrative processes. Job Description Essential Functions Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson. Supports management of non-credit and clinical student travel registration in the Study Away portal for individuals and groups Supports study away staff in updating and disseminating campus communications regarding programs, policies, and activities Tracks and updates application and enrollments processes for short-term student travel processes Serves as a point of contact for students and faculty regarding travel requirements and programs Supports Study Away team in monitoring and gathering information for travel risk review and alert monitoring Ordering Supplies and processing requisitions Updating and filing program information, student records, and financial documents Other various support functions as assigned by supervisors and Academic Affairs Assisting with Study Away sessions, orientations and events (virtual and in person) Competencies (Knowledge, Skills, and Abilities Required): General knowledge of undergraduate and graduate education and policy, university office procedures, travel safety Demonstrated ability to communicate and work effectively across cultural differences with diverse groups of students, faculty, staff, and external program partners Strong organizational skills with the ability to manage multiple priorities, tasks, and deadlines. Minimum Education and Experience Requirements: Education: Bachelor’s Degree required AND Experience: At least 2 years administrative experience required, preferably in higher education setting. Experience with international education or travel strongly preferred. Additional Information Proficiency with Microsoft Word, Outlook, Excel, Teams, Zoom, and Box. Experience with TDS a plus
