Program Coordination and Administration (40%): Provide administrative support for assigned Professional Programs, considering specific program needs, seasonality, and priorities established by the Assistant Director of Career Services Operations within the scope of BCS programs. These include Internships, Living Learning Communities (LLCs), Engage 100, Professional Development for graduate and undergraduate students, as well as new initiatives. Coordinate and streamline administrative components and processes of the programs to improve efficiency. Provide operational support for assigned programs, ensuring smooth execution and adherence to college standards. Support the maintenance of program-related students' applications, automated forms and workflows, student rankings, waiting lists, course registrations, student surveys, and assessments. Support the upkeep and administration of program-related employer verification, employer surveys, and assessments. Ensure the execution of program frameworks and workflows to meet accuracy, standardization, and efficiency. Support the implementation of all aspects of professional programs and communications focused on initiatives that face both students and employers, including but not limited to outsourcing, recruitment, and marketing campaigns. Collaboration and Support (25%): Understands the overall direction, elements, requirements, expectations, policies, and procedures of the programs while coordinating with multidisciplinary teams, university, and college partners to ensure alignment, compliance, and sustainability. Facilitate communication with students, faculty, staff, employers, and partners to improve clarity, responsiveness, and engagement. Coordinate guest speakers and events as instructed. Work with the Dean's Office, BCS, and other main stakeholders to handle the planning and logistics of guest speakers and panelists involved in the assigned programs. Support student advising efforts and serve as a primary contact for program-related questions. Hold student meetings to provide general guidance on the assigned programs. Handles program inquiries from students, parents, and employers, working with various parties to address concerns and resolve issues. May assist in the instructional process by supporting tutorial sessions or group instruction. May also grade assignments and review students' work for specific programs, taking into account program requirements, rubrics, and priorities set by the supervisor and Instructor of Record. Logistics, Data Management and Reporting (20%): Coordinate course delivery alignment, syllabi update and compliance, content delivery schedule while importing and updating course materials on the College's student learning management system (LMS) as directed by course faculty. Assist with schedule of assigned programs' classes, securing rooms, class times while aligning with instructors' schedules. Support the program directors on analysis, and implementation of improvements for process efficiency, student experience, and employer engagement. Develop and maintain comprehensive databases to track student participation, program outcomes, and engagement metrics. Coordinate the creation and distribution of promotional materials for program marketing, recruitment efforts while ensuring accuracy of program website content. Support the coordination of training sessions for staff on program specifics, processes, and updates to ensure alignment with program protocols and student needs. Troubleshoots any problems arising within the programs and handles other directly related responsibilities as defined by the program director. Contribute to the preparation and submission of program evaluation reports, statistics, and periodic assessments. Business Career Services (15%): Organize and coordinate BCS events and initiatives, including student workshops, networking functions, educational presentations, career fairs, and professional development events. Provide front desk coverage during BCS hours of operation, ensuring a welcoming and professional environment for students, guests, and visitors. This includes greeting individuals upon arrival, assisting with inquiries, and directing them to the appropriate resources or personnel as needed. Maintain a positive and supportive atmosphere that reflects the values of the College of Business. Ensure BCS meets service level agreement (SLA) expectations by timely managing the program's email inbox(s), appointments, walk-ins, and ad-hoc needs. Assist with career coaching during high-volume periods.
