About The Position

The Program Coordinator position provides essential administrative and operational support to the Behavioral Health (BH) program. This role is responsible for delivering high-quality customer service, managing intake and scheduling processes, and coordinating care with licensed behavioral health professionals. The successful candidate will be detail-oriented, adaptable, and capable of working effectively in a structured, fast-growing healthcare environment

Requirements

  • High school diploma or equivalent required.
  • 2 years of relevant experience in a healthcare environment.
  • Demonstrated ability to provide professional, courteous, and confidential customer service.
  • Strong organizational skills and attention to detail.
  • Ability to work independently while contributing effectively to a team environment.
  • Strong written and verbal communication skills are required.
  • Willingness to adapt to changing priorities and program growth.
  • Proficiency with basic computer applications and the ability to learn new systems quickly.

  • Additional education in healthcare: administration or a related field preferred.

Responsibilities

  • Serve as the primary point of contact for clients entering the Behavioral Health program.
  • Manage the Behavioral Health call line and respond to client inquiries in a timely and professional manner.
  • Greet and/or check in clients for appointments, complete check-out processes as applicable.
  • Assist with the collection of copayments and other patient financial responsibilities in accordance with organizational policies.
  • Coordinate and manage all aspects of the new client intake process, including:
  • Scheduling initial Behavioral Health appointments.
  • Verifying insurance benefits and eligibility.
  • Creating and updating client records within the electronic medical record (EMR) system.
  • Assisting new clients in completing the required intake documentation prior to their first appointment.
  • Ensuring clients are informed of their session format and location (virtual or in-person).
  • Schedule appointments for new and established clients while maintaining accurate provider calendars.
  • Ensure timely and accurate documentation within the EMR.
  • Assist clients with troubleshooting basic technical issues related to virtual appointments.
  • Support efficient clinic operations by managing administrative workflows and task prioritization.
  • Collaborate with licensed behavioral health professionals to support continuity and coordination of care.
  • Communicate appointment updates, client needs, and relevant information to the care team as appropriate.
  • Support operational needs of a growing Behavioral Health program.
  • Demonstrate flexibility and adaptability as workflows, systems, and service delivery models evolve.
  • Participate in process improvement initiatives and team-based projects under the direction of leadership.
