Role Overview The Program Compliance Analyst (PCA) is responsible for the final review, reconciliation, and compliance sign-off of promotional Speaker Programs. This role ensures that all program activities are completed accurately, fully documented, and aligned with client requirements, internal policies, and regulatory standards. The PCA serves as a subject-matter expert on business rules and closeout procedures, ensuring audit readiness, financial integrity, and compliance excellence across assigned accounts. This is a critical role supporting post-program accuracy, risk mitigation, and operational excellence within the Speakers Bureau.

Requirements

  • Education: Bachelor’s degree required.
  • Experience: Minimum of 2 years supporting programs within compliance in the pharmaceutical industry
  • Strong understanding of:
  • PhRMA Code
  • Sunshine Act / Open Payments
  • HIPAA
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • Ability to manage multiple priorities and meet tight deadlines.
  • Comfortable working under pressure and handling time-sensitive deliverables.
  • Excellent written and verbal communication skills.
  • Team-oriented with the ability to collaborate cross-functionally.
  • Willingness to work additional hours when business needs require.
  • Intermediate proficiency in Microsoft Word, Excel, Outlook.
  • Familiarity with tools such as SurveyMonkey, Adobe PDF, FedEx systems, and email campaign platforms.
  • Experience with web-based databases (Salesforce preferred).
  • Ability to quickly learn new systems and adapt to evolving technology.

Nice To Haves

  • HMCC or similar compliance certification preferred (or ability to obtain within first 6 months).

Responsibilities

  • Serve as the primary compliance reviewer for Speaker Programs.
  • Verify that all required documentation, financial details, and data entries are complete, accurate, and compliant with client policies and SLAs.
  • Partner with Program Planners and internal teams to resolve discrepancies and ensure timely closeout.
  • Complete detailed reconciliation of program financials, including:
  • Meal breakouts
  • Fee-for-Service (FFS) payments
  • Out-of-Pocket (OOP) expenses
  • Other reportable and pass-through costs
  • Calculate and prepare speaker fees for service reporting.
  • Review and submit speaker expense reports and track necessary shipping costs.
  • Ensure all compliance documentation is properly stored in internal systems and audit-ready.
  • Maintain accuracy and completeness of records to support internal, client, and regulatory audits.
  • Provide insights and recommendations to Operations and Compliance leadership.
  • Support training initiatives to reinforce closeout and compliance workflows.
  • Follow all SOPs, and workflow guides.
  • Identify compliance gaps, risks, or process inefficiencies and propose solutions.
