About The Position

The Program Assistant position at the New Jersey VA Healthcare System in Lyons, NJ, serves as a technical assistant to the Associate Chief of Staff (ACOS) of Extended Care and the Administrative Officer (AO) for Extended Care. The role is crucial for ensuring the efficient operation of the Extended Care Business Office and the Extended Care Service Line, focusing on data collection, employee education coordination, human resources support, and customer service.

Requirements

  • One year of specialized experience equivalent to GS-05 level in the Federal service.
  • Experience monitoring and maintaining computer databases for various programs.
  • Comprehensive experience analyzing and evaluating data collected in programs.
  • Extensive experience in timekeeping and organizing information for reports and meetings.
  • Knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Access).
  • Understanding of VA New Jersey Health Care System policies and procedures.

Responsibilities

  • Perform data collection, compilation, and tracking for Extended Care programs.
  • Maintain databases and spreadsheets, track consults and their outcomes.
  • Assist in planning, reviewing, and reporting statistical results of program/project studies.
  • Monitor staff completion of mandatory education requirements and coordinate training opportunities.
  • Collect resumes and schedule interviews for openings in Extended Care.
  • Coordinate off-tour medical coverage and manage scheduling for Medical Officers of the Day (MODs).
  • Troubleshoot technical issues related to computer and technology for Extended Care.
  • Complete clerical duties, including taking minutes for meetings and correspondence with patients and families.
  • Assist in the acquisition and development of program information and resource materials.
