About The Position

The Program Assistant works under the Medical Director to assist with managing the operational and patient workflow while ensuring the quality of care of patients in the clinic. The Program Assistant provides support to Prescribers by coordinating and managing daily activities. This includes coordinating / interfacing with outside agencies for information for the prescribers such as school forms, lab results, scanning hospital discharge paperwork, managing the processing of medication consent letters, drafting Prescriber letters, handling prescriber’s mail, and assisting with prescriber scheduling. The individual must be skillful in handling face-to-face and telephone contacts, knowledgeable of Authority structure, and scheduling utilizing computerized systems. Direct supervision is received from the Medical Director.

Requirements

  • High School Diploma or equivalent required.
  • Minimum of one year of job-related experience required.
  • Minimum of a high school diploma (or equivalent) with two years administrative support experience, ability to type 35 wpm, corrected.
  • Strong organization, problem solving and customer service skills, and interpersonal communication skills are necessary.
  • Telephone Skills, Verbal Communication, Listening, Professionalism, Customer Focus, Organization, Informing Others, Handles Pressure, Phone Skills.
  • Ability to work in a complex, detail-oriented, deadline structured, busy organization.
  • The following physical and mental abilities are required: frequent lifting or carrying up to 15 pounds, must be able to hear, frequent sitting/standing/walking, ability to communicate effectively in person and/or phone, the ability to read, analyze and interpret information, ability to write correspondence and procedures, ability to maintain records, ability to define and solve practical problems, collect data, establish facts and draw valid conclusions, ability to influence others.
  • Demonstrated proficiency in Microsoft Exchange, Outlook, Word and such other applications if/when required. Ability to be trained and successfully complete other computer training as required.
  • Valid driver’s license, proof of current automobile insurance and driving record determined by the Authority’s insurance carrier to be eligible for coverage if required as part of positions duties.

Nice To Haves

  • Experience working with consumers have a mental illness or developmental disability and knowledge of psychotropic medications preferred.
  • Medical Assistant training is preferred.
  • Prior medical office experience desired.

Responsibilities

  • Assists Prescribers in communicating/corresponding with external providers, services and resources. This includes local pharmacies, County Court personnel, physicians’ offices, schools, and hospitals.
  • Assists with drafting and delivery of prescriber letters to consumers.
  • Assists prescribers with rearranging appointment schedules when confronted with unexpected events.
  • Fax/mail letters or labs requests/results related to treatment needs.
  • Assist with the orientation and training of new and existing PHS staff.
  • Communicates with consumers, coworkers, external providers and community agencies in a manner that is consistent with and is supportive of the essential principles of recovery.
  • Maintain and develop ongoing skills and competencies essential for implementing job duties and responsibilities
  • Follows oral and written direction completing tasks as assigned by due dates.
  • Maintains working knowledge of software applications used in performance of daily duties.
  • Complies with and maintains competence with all applicable laws, regulations, standards, and rules governed under Medicare, Medicaid, Michigan Department of Human and Human Services (MDHHS), Joint Commission, and any applicable funding sources.
  • Understands, adheres and maintains competence with all MCMHA and CMHPSM standards, policies, procedures as they appear in MCMHA’s, Management of Information, Finance-Contract Management, Recipient Rights, Performance Improvement, Administration, Human Resources, Environment and Provision of Care Policies.
  • Complies with and maintains competence with the Health Insurance Portability and Accountability Act (HIPAA) regulations as they pertain to privacy and confidentiality.
  • Interacts appropriately with Managers and peers. Performs required duties with an awareness of impact upon the Authority structure as a whole.
  • Works as a Team Player within the entire Authority Structure.
