The Program Assistant for Social Marketing and Communications at FHI 360 plays a crucial role in providing administrative, programmatic, and logistical support to the department. This position involves preparing documents, maintaining records, and assisting with various tasks related to public health communication programs. The role is essential for ensuring the smooth operation of projects funded by major health organizations and requires a proactive approach to problem-solving and communication.

  • Provide administrative support to domestic HIV communication program staff.
  • Coordinate technical visits, travel authorizations, procurement, expense reports, and contract agreements.
  • Maintain databases and ensure data integrity and security according to quality standards.
  • Prepare documents, reports, and briefing materials for consultants, staff, and clients.
  • Coordinate the division of workload among other administrative/support staff.
  • Assist in the orientation and training of new administrative/support staff.
  • Perform entry-level technical program-related tasks.
  • Ensure documentation and reports are tracked regularly and adhere to technical standards.
  • Perform other related duties as assigned.
  • Associate's degree required; bachelor's degree preferred.
  • 0-2 years of programs and administrative support experience; prior relevant work experience in an office setting is preferred.
  • Fluent in English, with strong oral and written communication abilities.
  • Excellent organizational skills and superior attention to detail.
  • Ability to adapt to change quickly and show willingness to learn.
  • Strong interpersonal skills with the ability to work effectively with a wide range of individuals.
  • Proficiency with MS Office suite.
  • Prior experience in a non-governmental organization (NGO) preferred.
  • Interest and experience in health communication helpful.
  • Experience working with online project management tools/platforms a plus.
