About The Position

Requirements

  • Associate's Degree required; Bachelor's Degree preferred.
  • Minimum of 5 years' experience as an administrative assistant in a professional office setting, or a combination of education and experience.
  • Proficiency in Microsoft Office 365 applications (Word, Excel, PowerPoint, Outlook, Teams) and Zoom.

Responsibilities

  • Manage program correspondence and documents in a timely manner.
  • Effectively communicate and collaborate with program faculty, university officials, administrative staff, students, vendors, and the public.
  • Ensure proper record-keeping of program documents and maintain electronic filing systems.
  • Assist the Program Director and faculty with accreditation reports and other program reports.
  • Coordinate and track the procurement of supplies and instructional materials.
  • Request and track contracts for faculty overload and adjunct instructors.
  • Process day-to-day financial matters including payments, contracts, invoices, and purchase orders.
  • Remain current on university procedures related to budget and financing, serving as a resource for faculty compliance.
  • Coordinate program events including admissions, orientation, graduation, and workshops.
  • Assist in scheduling interviews and onboarding of new faculty.
  • Create and administer electronic surveys and compile data for program reports.
  • Participate in team, faculty, and university meetings, recording minutes and following up as needed.
  • Coordinate room reservations for student test accommodations and meetings.
  • Prepare degree audits and licensure verification forms.
  • Manage continuing education documentation for program events.
  • Update student-facing publications and program pages within the learning management system.
  • Participate in the admissions process for all graduate psychology programs.
  • Maintain a schedule of program activities and ensure communication with the Program Director.
