About the position

The Program Assistant for the Engineering and Physics Department provides essential administrative support and assists with recruiting efforts for academic programs. This role involves scheduling, degree audits, and general office activities to ensure the smooth operation of the department while engaging with prospective students.

Responsibilities

  • Assist with recruiting efforts for academic programs in the sciences, primarily Engineering.
  • Host prospective students for on-campus visits.
  • Proactively recruit students via phone calls, texts, social media, and other marketing strategies.
  • Assist with scheduling and degree audits for Engineering students.
  • Audit degree plans and ensure 60-hour degree audits are complete.
  • Meet with students for class scheduling following meetings with faculty advisors.
  • Assist with other science student scheduling as needed.
  • Provide administrative support for the Engineering department, including answering and greeting guests.
  • Maintain files, office supplies, and equipment; assist faculty as needed.
  • Provide backup support for other departments in the building.
  • Prepare purchase orders for various items needed by departments.
  • Enter data into Banner, such as overrides, scholarships, and advisor information.
  • Run and analyze multiple reports using Argos.
  • Collect data needed for assessment reports and other projects.
  • Schedule and coordinate activities for department functions.
  • Schedule and reserve rooms associated with the department.
  • May schedule travel arrangements and run errands as needed.

Requirements

  • Bachelor's degree preferred; previous office experience preferred.
  • Ability to read and comprehend instructions, short correspondence, and memos.
  • Ability to maintain records and understand specific instructions and procedures.
  • Word processing and/or data entry skills.
  • Ability to prepare and print routine correspondence, labels, and other basic written material.
  • Skill in using basic office equipment and maintaining calendars.

Nice-to-haves

  • Experience in a higher education environment.
  • Familiarity with Banner and Argos software.
