About The Position

AIMRIGHT Testing and Engineering is seeking a Professional Receptionist to join our Tulsa team. This is a full-time, on-site role responsible for managing all inbound communications, ensuring every client interaction begins with CARE, and providing executive-level administrative support to AIMRIGHT’s leadership team. The right candidate understands that answering a phone isn’t a task — it’s a brand promise. You will be the first voice clients hear and the reason they remember that AIMRIGHT is different. We’re looking for someone with a naturally warm and energetic presence, professional communication skills, and the ability to triage and route calls efficiently across a growing organization.

Requirements

  • 2–4 years of experience in a receptionist, front-desk, or client-facing administrative role.
  • Exceptional phone presence — warm, clear, energetic, and professional. No monotone. Callers should hear someone who is genuinely glad they called.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously without dropping the ball.
  • Detail-oriented with professional writing ability — emails, messages, and documents should be polished and error-free.
  • Technology-comfortable — able to quickly learn and navigate multiple software platforms (Monday.com, SiteDocs, Dropbox, QuickBooks Online). You don’t need to know them all on Day 1, but you need to pick them up fast.
  • High school diploma or equivalent required; associate’s degree or relevant coursework preferred.
  • Valid driver’s license with an acceptable driving record.
  • Alignment with AIMRIGHT’s values — authenticity, integrity, service orientation, and a genuine desire to honor others through your work. Comfortable with a faith-informed workplace culture.

Nice To Haves

  • Experience in construction, engineering, or professional services industries.
  • Familiarity with QuickBooks Online and/or Monday.com.
  • Experience supporting safety programs or regulatory compliance documentation.
  • Bilingual (English/Spanish) is a plus.

Responsibilities

  • Own the phone. Answer every inbound call by the third ring with a warm, professional, and energetic presence. You are the voice of AIMRIGHT.
  • Triage and route calls efficiently to the right engineer, project manager, or team member — minimizing transfers and ensuring callers feel helped, not bounced.
  • Take accurate, detailed messages when team members are unavailable, and follow up to ensure callbacks happen.
  • Greet and direct all visitors, clients, and vendors arriving at the Tulsa office.
  • Monitor and respond to general company email and inquiries as the first point of contact.
  • Support the CEO on the safety program, including administration of SiteDocs, tracking training video completion, managing safety forms, and coordinating monthly safety meetings.
  • Send communications on behalf of the executive team, including monthly/quarterly letters to all employees.
  • Maintain and update the CRM (Monday.com) with current project and client information.
  • Assist with basic accounting functions in QuickBooks Online, including GL entries, simple AR functions (collections follow-up), and invoice/payment updates.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Coordinate meeting room scheduling and office supply inventory.
  • Assist with onboarding logistics for new hires as needed.
  • Serve as a bridge between field teams and office staff, ensuring information flows smoothly.
