Summary The Production Program Coordinator facilitates the movement of production orders through outsourced manufacturing partners to ensure timely, accurate, and high-quality product output for ILG. This role manages order release, monitors production status, and maintains consistent communication across internal departments and external vendors. The position requires disciplined process coordination, strong analytical and communication skills, and the ability to proactively identify and resolve production issues that could affect delivery timelines or project readiness. Responsibilities

  • Coordinate and release production orders to outsourced manufacturing partners accurately and on time
  • Maintain production dates and order status in ILG systems of record
  • Ensure visibility and communication of production status across internal stakeholders
  • Support installation, delivery, and production timelines through proactive coordination
  • Monitor vendor performance and identify opportunities for improvement related to quality, timeliness, and cost
  • Manage daily and weekly release of production orders to outsourced partners, ensuring required specifications and documentation are complete
  • Align production schedules with internal capacity, customer timelines, and delivery commitments
  • Maintain short-term production visibility reports to identify constraints or risks
  • Support capacity planning discussions to align outsourced supplier output with demand forecasts
  • Coordinate changes, reschedules, and order updates between internal scheduling and external manufacturing teams
  • Participate in regular production update calls with vendors to review job status, material availability, timelines, rework, and open issues
  • Facilitate communication among Operations, Purchasing, Scheduling, Finance, and external production partners
  • Issue production summaries and updates for internal operations leadership
  • Validate order releases in ERP systems with accurate pricing, material allocation, and specification details
  • Confirm materials or components required for production and delivery have been staged, ordered, or sourced appropriately
  • Track order progress through production, delivery, and deployment stages; update internal systems as required
  • Manage remake, rework, or warranty processes and ensure associated costs and labor are properly documented
  • Maintain vendor production performance dashboards and scorecards based on ILG KPIs
  • Participate in vendor performance reviews, summarizing trends, risks, and corrective action plans
  • Support month-end reporting for Operations and Finance, including throughput, rework costs, order status, and vendor adherence to standards
  • Investigate and document issues related to delays, changes, and production conflicts
  • Participate in root-cause analysis to reduce repetitive issues and improve process performance
  • Standardize release workflows, handoff protocols, and communication templates
  • Contribute to ILG-led process improvement initiatives involving outsourced production partners
  • Coordinate with internal Operations teams to ensure workflow alignment
  • Partner with Supply Chain, Logistics, and Warehouse teams to ensure material availability and delivery sequencing
  • Support Finance in reconciling production-related billing, costs, and variances when required
