About The Position

The Production Planning Assistant supports daily production activities by coordinating materials, maintaining production documentation, monitoring job progress, and ensuring accurate communication between Planning, Production, CSR, Engineering, and Storeroom teams. This role is essential for ensuring smooth workflow on the production floor, timely customer order fulfillment, and accurate maintenance of planning and materials data. Production Documentation & Material Instructions (MI) Management Deliver MI's and job packets to the production floor, including warranty jobs received from QA. Create new line items for shipping after shipping confirmation errors. Create replacement panel line items for returned customer jobs. Reprint MI's and deliver them to production lines as needed. Revise materials and update “white status” on MI's after daily material pulls. Production Coordination & Daily Output Monitoring Check production status with production team-leads to ensure daily output goals are met. Follow up on material availability for scheduled jobs. Collaborate with Production Team Leader and Storeroom Leader to resolve material or scheduling issues. Planning & Scheduling Support Review Master Schedule Planning and Buyer Materials Buckets, reassigning materials to the correct owners as needed. Check substitute materials with the Engineering team for items showing shortages. Add short materials to stock-out trackers and follow up with Material teams for status updates. Update RVP job status on SharePoint after checking with Production. Customer Order Support & Communication Review customer requests received from the CSR team and provide updated order or material status. Send ship-short requests to the CSR team to obtain customer approval for partial shipments.

Requirements

  • High school diploma or GED equivalent from an accredited institution.
  • Minimum 6 months prior experience in production planning, scheduling, or manufacturing operations.
  • Strong attention to detail and accuracy.
  • Ability to multitask in a fast-paced manufacturing environment.
  • Basic proficiency in Microsoft Excel, PBI, and ERP systems.
  • Computer literate.
  • Familiarity with MI's, material transactions, or manufacturing documentation.
  • Understanding of material flow, BOMs, or inventory processes.
  • Strong verbal and written communication skills, persuasive skills, and analytical problem-solving skills.
  • Work with individuals and groups to effectively participate within team environment.
