We are looking for: Advanced Systems Group LLC. is seeking a Production Coordinator (Admin) to join our high-performing team and support production operations by managing project accounting workflows, maintaining production budgets, and coordinating financial documentation across multiple projects. The Production Coordinator works closely with Production Managers, vendors, clients, and internal teams to maintain accurate financial records, monitor project spending, and provide clear budget reporting throughout the lifecycle of each production. This position is part of our Flex Workforce. As a Flex team member, you’ll work on a project-to-project basis, supporting a variety of leading media and technology clients. Flex roles are ongoing and dynamic—work may vary in cadence, length, and scope depending on client needs. This setup offers flexibility, exposure to top-tier companies, and the chance to grow your skills across multiple exciting assignments. Estimated schedule: Tuesday-Wednesday-Thursday (up to 8 hours a day) Specific schedules will vary by project and client engagement.

Requirements

  • 3+ years of direct experience in project-based bookkeeping or production accounting.
  • Proven experience managing budgets where costs are tracked at a granular level.
  • Experience explaining financial workflows or budget statuses to external vendors and clients professionally.
  • Experience using Google Workspace.
  • Impeccable attention to detail.
  • Exceptional written and verbal interpersonal communication skills.
  • Comfortable navigating complex production accounting workflows across a variety of platforms.

Responsibilities

  • Act as the first point of contact for all project accounting matters.
  • Take over the management of our budget builders. You will input the granular data to cost out jobs based on the Production Managers's top-level parameters.
  • Prepare and format the budget sheets used to present quotes to clients. You ensure they are professional, accurate, and ready for review.
  • Manage non-urgent Statement of Work (SOW) updates as project scopes shift, ensuring the SOW reflects the current reality of the job.
  • Open most (if not all) Purchase Orders for each project.
  • Receive and screen all incoming invoices, cross-reference them against issued POs, and address any discrepancies with the Production Manager.
  • Communicate directly with vendors, clients, and other extended workforce members, ensuring PO workflows are clearly defined and followed.
  • Update all project-specific trackers for client spends and internal trackers.
  • Provide tracking and deep-dive data when the internal Vizlab team or clients have specific questions about where the budget stands.
