About The Position

The Production Control Clerk (PCC) at EMCOR Government Services is responsible for providing office management and clerical support at the IDA sites in Alexandria, VA, and Washington DC. This role involves compiling production data, preparing reports, managing work schedules, overseeing subcontractor management, and ensuring accurate invoicing to clients. The PCC plays a crucial role in maintaining efficient operations and supporting the Project Manager with various administrative tasks.

Requirements

  • Four (4) or more years experience in Office Management and/or Clerical Support.
  • Experience with MS Office, CMMS, and financial systems.

Responsibilities

  • Compiles and records production data to compare records and reports on volume of production, consumption of material, quality control, etc.
  • Prepares written work schedules based on established guidelines and priorities; compiles material inventory records.
  • Prepares requisitions for procurement of materials and supplies charts.
  • Sorts and distributes work tickets.
  • Oversees subcontractor management including submittal of subcontract agreements, PO issuance, PO receipt/payment, and collection of reports.
  • Oversees CMMS work order system to ensure proper training and usage by staff.
  • Works with Microsoft Office Suite to produce professional and accurate documents as needed.
  • Prepares correspondence, reports, letters, spreadsheets, and other documents for the Project Manager.
  • Processes inquiries regarding site operations and functions.
  • Prepares reports, statistics, and other information related to the operation of the contract.
  • Ensures invoicing to the client is accurate and timely.
  • Schedules and participates in meetings and conferences; prepares meeting minutes and agendas.
  • Assists in the preparation and maintenance of the budget and forecasts for the contract.
  • Develops financial reports to determine monthly spend and income versus budget.
  • Ensures that staff attendance and leave is properly administered, tracked, and accounted for.
  • Works with the Accounting Department to ensure that invoices, receipts, and other vendor-related documentation is accurate and timely.
