About The Position

We are seeking a detail-oriented and highly organized Production Assistant to support our Production Department. This role is vital to ensure smooth day-to-day operations, from scheduling and ordering materials to coordinating with field staff and warehouse associates. The ideal candidate will be proactive, dependable, and able to manage multiple priorities while maintaining excellent communication with internal teams and customers.

Requirements

Previous experience in an administrative or production support role preferred.
Strong organizational skills and attention to detail.
Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Excellent communication skills, both verbal and written.
Proficiency with Microsoft Office Suite (Excel, Outlook, Word) and general computer skills.
Team-oriented with a strong work ethic and problem-solving abilities
Prolonged periods sitting working on a computer.
Must be able to lift 15 pounds at a time.

Responsibilities

Enter and process invoices accurately and in a timely manner.
Schedule production activities, including project timelines, measures, and service tickets.
Order products such as windows, siding, bathrooms, and front entry doors, while providing regular updates on delivery dates to leadership.
Coordinate with the Field Supervisor regarding product orders and estimated delivery schedules.
Create job jackets for each new project to ensure complete and accurate documentation.
Respond promptly and professionally to emails from internal leadership and customers.
Answer phone calls for the production department, including scheduling and service ticket inquiries.
Assist the Field Supervisor with scheduling measures and service tickets.
Maintain and monitor inventory levels, coordinating monthly with the warehouse associate to ensure accuracy.
Work with the warehouse associate to stage jobs for installer pickups.
Verify all items required for jobs are ready and available prior to pickup.
