About The Position

Propulsion Controls Engineering is seeking a Production Assistant Lead, with a minimum of three years experience in an office environment; supporting our San Diego, California location. Job Summary: Responsible for the organizational oversight of Administrative Assistants and associated duties within the Program Management Office (PMO) necessary to ensure the adequate administrative support for Project Management, maintenance of project job files, maintenance of the Technical Library, oversight of office supplies stock; operation and maintenance of office equipment, and office cleanliness.

Requirements

  • High school diploma/GED required. Completion of college courses with Business Major emphasis preferred, minimum 2 years.
  • Minimum 3 years experience in Office Environment.
  • Have superb written and oral communication skills, be a great listener and be an excellent team leader.
  • Have an understanding of the job management system and billing process.
  • Ability to work independently with minimal supervision.
  • Superior filing and organizational skills.
  • Ability to work with Managers and Supervisors at all levels.
  • Excellent phone and customer service skills.
  • Desire to practice integrity and professionalism in all aspects of the business.
  • Proficiency in Microsoft Office applications (Excel, Word, Outlook) emphasis on Excel.
  • Must possess an extensive knowledge of ship repair specifications commensurate with ship-wide/multi-system repair initiatives.
  • Possess and in-depth knowledge of associated trades (i.e., welder, outside/inside machinist, electrician, etc.).
  • Demonstrate a proven record (by progression) of positions requiring problem-solving, conflict-resolution, and team-building competencies.
  • Ability to read and interpret Standard Drawings, Navy Standard Items, and Navy Quality Management Systems.

Responsibilities

  • Oversees all administrative matters for Production Office.
  • Makes copies of new work orders; turning over such to Project Manager(s) for distribution.
  • Types Inspection Deficiency Reports (IDR’s) and/or Contract Change Requests (CFR) submitted by Project Managers.
  • Sends and tracks submitted reports (IDR’s) to customers and Prime Contractors.
  • Files all applicable responses to submitted reports by work item and work order number.
  • Distributes report copies for Supervisors for their records and files accordingly.
  • Responsible for notifying the appropriate Project Manager(s) when required reports are rejected.
  • Organizes job files and maintains technical library filing system.
  • Archives job files when all production work is complete on work orders.
  • Maintains job file integrity throughout life cycle of work orders through completion.
  • Maintain Project Managers weekend duty schedule on the Outlook Calendar.
  • Orders and prints new technical manuals, drawings and test memos for Supervisors and Managers and add to network share drive.
  • Ensures current technical library references are up-to-date.
  • Take accurate minutes of meeting(s) and drafts basic administrative memos and letters.
  • Other duties as may be assigned.
  • Flexibility to respond to business needs during non-business hours.
