About The Position

The Production Administrator supports the Wholesale and Correspondent lending channels by managing partner onboarding, relationship maintenance, lender renewals, and compliance documentation. This role serves as a central point of contact between internal teams, Account Executives, brokers, and investor partners to ensure accurate setup, regulatory compliance, and efficient day-to-day operations.

Responsibilities

  • Manage and track all relationship setup requests, including system credentials, branch configurations, Account Executive (AE) setups, and lender access.
  • Lead onboarding for new Wholesale and Correspondent partners, ensuring all required documentation, approvals, system requirements, and onboarding calls are completed accurately and timely.
  • Coordinate ongoing partner engagement, including onboarding calls for new brokers and periodic relationship check-ins with existing partners and AEs.
  • Serve as a primary point of contact for broker relationships, providing guidance on wholesale processes, loan scenarios, file placement, and general operational support.
  • Oversee onboarding, application processes and employee logins for new and existing Down Payment Assistance (DPA) programs in coordination with Branches, Product Development, and Credit Administration.
  • Coordinate with Legal, Licensing, and Compliance departments to ensure proper access, approvals, and regulatory alignment for all relationships.
  • Manage investor and lender renewal processes, including Comergence applications, and annual, quarterly, and VA renewals across approved Wholesale and Correspondent relationships.
  • Complete, submit, and track renewal applications through lender portals and direct coordination with investor account representatives.
  • Coordinate the review, execution, tracking, and storage of Broker Agreements, Correspondent Agreements, and Non-Disclosure Agreements (NDAs), including signature collection and application support.
  • Maintain organized, audit-ready records of all relationship agreements and compliance documentation.
  • Maintain a centralized master list of all active and prospective Wholesale and Correspondent relationships, ensuring accuracy and completeness.
  • Maintain and update Smartsheet and other tracking tools for onboarding requests, AE setups, recertifications, lender questionnaires, and renewal workflows.
  • Maintain lender scorecards and departmental documentation within shared drives.
  • Maintain progress reports, priority lists, and reference materials (e.g., cheat sheets, contact lists, required data) to support Legal, Compliance, and operational workflows.
  • Monitor Outlook and Capacity inboxes, prioritizing requests, responding to inquiries, and routing or escalating issues as appropriate.
  • Provide internal and external guidance on wholesale processes, relationship setups, and operational procedures.
  • Communicate regularly with Account Executives to ensure internal systems and external partner information remain aligned and current.
  • Provide financial and production volume data to approved investors on an annual, quarterly, or ad-hoc basis, as requested.
