About The Position

We are seeking a Production Administrative Assistant (Production Admin) to support our Operations team and ensure that production departments run efficiently. This role provides vital clerical and administrative support, including scheduling, documentation management, labor coordination, and daily operational communication. Attendance, accuracy, and reliability are essential, as this position works directly on-site alongside production supervisors and leads.

Requirements

  • High school diploma or GED required.
  • Minimum 2 years of administrative experience in a manufacturing environment.
  • Experience using Microsoft Office 365 (Excel, Outlook, Teams, PowerPoint).
  • Ability to use iSolved or similar HCM systems for scheduling and labor tracking.
  • Strong listening, communication, and organizational skills.
  • Ability to work under time pressure and with minimal supervision.
  • Flexible availability based on production demands.
  • Self-motivated, dependable, and detail-oriented.

Nice To Haves

  • Bilingual (English/Spanish) preferred.

Responsibilities

  • Maintain department personnel staffing to ensure production lines are fully and properly manned.
  • Coordinate labor scheduling with the labor scheduler to minimize overtime and maximize proper rotation.
  • Ensure labor schedules are entered and maintained in iSolved for accurate labor management.
  • Conduct daily roll calls to validate labor counts, proper PPE usage, and staffing coverage.
  • Code labor in iSolved and work with the labor scheduler for validation; request staffing replacements or additions as needed.
  • Prepare break and mealtime schedules to support smooth shift operations.
  • Escort new hires into the facility, ensuring they understand their role, department layout, PPE expectations, and break/meal schedules.
  • Assist in training new hires and assign mentors to guide them during onboarding.
  • Print labels, documents, and production-related materials for the start of shift operations.
  • Post weekly schedules and communicate schedule changes to employees.
  • Manage communication for call-outs, shift notices, and staffing updates.
  • Support the department in issuing write-ups and disciplinary forms when needed.
  • Upload and maintain Pre-Op and Post-Op photos and files.
  • Ensure all production, quality, and safety documentation is accurate, organized, and up to date.
  • Communicate with HR regarding staffing needs and employee updates.
  • Support production leads, supervisors, and Operations Management with administrative tasks as required.
  • Participate in company meetings and training sessions to support growth and continuous improvement.
  • Follow all GMP, HACCP, Food Safety, Food Defense, and SQF policies.
  • Report any safety or quality concerns immediately and proactively.
  • Participate actively in Wawona's Safety Program to help maintain a healthy and safe environment.
