About The Position

The Product Sample Coordinator manages the end-to-end flow of product samples from factories to internal teams and external partners, including sales, marketing, and retail accounts. This role ensures all samples are accurate, properly prepared, and delivered on time to support key business initiatives such as sales presentations, product launches, and marketing needs. Success in this role requires strong organization, cross-functional coordination, and attention to detail. The position plays a critical role in maintaining brand standards and supporting revenue-driving activities.

Requirements

  • Associate’s degree or equivalent work experience, with 1–2 years of experience in merchandising, product coordination, logistics, or a related field preferred
  • Detail-oriented and highly organized, with strong communication skills and the ability to follow through on tasks in a fast-paced environment
  • Proficient in Microsoft Office, with exposure to shipping systems (e.g., FedEx) and familiarity with PLM or workflow tools (e.g., Asana) a plus
  • Team-oriented and self-motivated, with the ability to multitask, manage shifting priorities, and work both independently and collaboratively
  • Able to perform hands-on responsibilities, including lifting up to 40 lbs and supporting sample preparation tasks such as folding, packaging, and tagging

Nice To Haves

  • Basic understanding of garment construction and packaging standards is a plus

Responsibilities

  • Coordinate the receipt, tracking, preparation, and shipment of product samples across multiple accounts (e.g., Walmart, Target, Costco, etc.)
  • Monitor timelines and ensure samples are delivered on schedule in alignment with sales and product calendars
  • Prepare samples to meet company and customer standards, including correct packaging, labeling, hangers, and tags
  • Partner with Sales, Product Development, Packaging, and Marketing teams to align on sample needs and requirements
  • Track sample quantities, shipment details, and delivery status; proactively resolve delays or issues
  • Maintain organized sample inventory and sample room operations, including storage, labeling, and cleanup of outdated items
  • Coordinate sample distribution for sales presentations, showrooms, photography, and marketing initiatives
  • Create shipping documentation, including commercial invoices for international shipments
  • Utilize shipping systems to process shipments, track deliveries, and maintain accurate records
  • Support additional sample-related needs such as showroom setup, internal events, gifting, and special projects
