About The Position

As Procurement and Warehouse Specialist at Standard Bots, you are the operational backbone that keeps our supply chain moving and our warehouse running smoothly for the implementation team. You will manage purchase orders from initial quote through final delivery, maintain BOM accuracy across projects, run shipping and receiving operations, and build the vendor relationships that support our systems. You thrive in a fast-moving environment where priorities shift quickly and accuracy matters. You understand that a missing part can stop a system build, and a late shipment can delay a customer installation. You are organized, proactive, and comfortable owning cross-functional processes that touch engineering, finance, and the shop floor.

Requirements

  • 2–5 years of hands-on experience in procurement, purchasing, or supply chain within a manufacturing or hardware environment
  • Demonstrated experience managing purchase orders, vendor communications, and inventory records in a physical warehouse setting
  • Prior experience working from engineering BOMs or technical part lists to generate purchasing requirements
  • Proficiency with ERP or procurement platforms (e.g., NetSuite, QuickBooks, Fishbowl, or similar); comfortable learning new software systems
  • Strong Excel or Google Sheets skills for BOM tracking, spend analysis, and inventory management
  • Ability to read engineering part drawings and interpret BOM structures, including assemblies and sub-assemblies
  • Familiarity with freight documentation: bills of lading, packing slips, certificates of conformance, and customs forms
  • Highly organized and detail-oriented: you keep records accurate, flag discrepancies early, and follow through on open items
  • Self-directed and proactive: you anticipate shortages, identify process gaps, and act before issues become problems
  • Clear communicator: you keep engineering, finance, and operations in the loop without being asked, and escalate with context
  • Comfortable in a fast-growing startup: you adapt quickly, wear multiple hats, and help define processes as the company scales

Nice To Haves

  • Experience in robotics, automation, or advanced manufacturing supply chains
  • Forklift certification or experience operating warehouse equipment
  • Familiarity with Incoterms and basic international freight processes
  • Experience with lean inventory practices, Kanban systems, or demand-driven replenishment
  • Background sourcing electronic components, custom machined parts, or PCBs

Responsibilities

  • Issue purchase orders for mechanical components, electrical hardware, consumables, and packaging materials based on engineering demand and inventory levels
  • Track open POs from submission through delivery; follow up with vendors on lead times, delays, and discrepancies
  • Coordinate urgent and expedited orders to support schedules and customer delivery commitments
  • Reconcile invoices against purchase orders and receipts; flag pricing or quantity discrepancies for resolution
  • Maintain accurate and up-to-date bills of materials for active projects
  • Collaborate with engineering to incorporate ECOs (engineering change orders) and design revisions into BOMs in a timely manner
  • Audit BOM data for completeness, part number accuracy, and alignment with physical inventory
  • Identify long-lead and sole-source components; develop mitigation strategies to protect production schedules
  • Solicit and compare quotes from multiple suppliers for standard and custom parts; apply sound judgment to balance cost, lead time, and quality
  • Maintain a quote log and cost database to support spend analysis and budgeting conversations with leadership
  • Negotiate pricing, minimum order quantities, and payment terms with suppliers to achieve the best total value
  • Support engineering with make-versus-buy analysis and alternate sourcing options for custom fabricated components
  • Manage inbound receiving: inspect deliveries for accuracy and damage, log receipts against open POs, and route materials to appropriate locations
  • Coordinate outbound shipments of robot systems and components to customer sites; prepare bills of lading and packing lists as required
  • Manage carrier relationships and select appropriate freight modes (parcel, LTL, FTL) based on cost, urgency, and shipment size
  • Maintain inventory accuracy through regular cycle counts, proper labeling, and organized bin locations throughout the warehouse
  • Onboard new vendors: collect qualification documentation, establish terms and payment profiles, and integrate suppliers into our procurement workflow
  • Evaluate supplier performance on quality, on-time delivery, and responsiveness; escalate or replace underperforming vendors as needed
  • Identify and cultivate secondary and backup suppliers for critical components to reduce single-source risk
