Role Overview The Proctor Operations Lead is responsible for managing a high-quality pool of virtual proctors who support OpenEd’s standardized testing programs. This role owns end-to-end proctor operations, including recruitment, onboarding, training, scheduling, payroll coordination, quality assurance, and ongoing engagement. The Proctor Operations Lead partners closely with internal teams to ensure that proctor capacity aligns with testing demand, that proctors are well-prepared for each testing event, and that the overall proctor experience is efficient, positive, and performance-driven. This role is both strategic and hands-on, requiring strong operational skills, data-driven decision-making, and excellent people management skills.

Requirements

  • Bachelor’s degree or equivalent experience in education, operations, or a related field.
  • Minimum three years experience with people management, scheduling and/or staffing.
  • Experience managing remote or distributed workforces strongly preferred.
  • Experience recruiting, onboarding, and managing pools of hourly or contract staff.
  • Strong organizational and scheduling skills, with the ability to manage multiple priorities and deadlines.
  • Data-driven mindset with experience defining metrics, building reports, and using data to inform decisions.
  • Excellent communication and interpersonal skills; comfortable engaging one-on-one and with large groups.
  • Experience working cross-functionally with HR, payroll, and Assessment Team Leads.
  • Proficiency with collaboration tools (Slack, email), Google Sheets, Google Calendar, databases, and scheduling systems.
  • Clear written communication and confidence in managing professional relationships
  • Ability to juggle multiple priorities and shift timelines during testing seasons
  • Available during core business hours for coordination and troubleshooting (especially during testing weeks)

Nice To Haves

  • Familiarity with virtual or remote testing environments, education operations, or assessment programs is a plus.

Responsibilities

  • Proctor Staffing & Planning Plan and coordinate staffing needs for virtual testing events, anticipating proctor demand and ensuring adequate coverage.
  • Proactively identify and address staffing gaps to support scheduled testing sessions.
  • Develop and manage a proctor scheduling process that aligns proctor availability with testing needs.
  • Partner with the Assessment Team to align proctor assignments with testing schedules and program requirements.
  • Recruitment, Onboarding & Training Lead recruitment, hiring, onboarding, and training of proctors.
  • Own the proctor onboarding experience, ensuring a smooth, efficient, and positive introduction to OpenEd systems, expectations, and testing protocols.
  • Ensure proctors are fully trained, certified (as required), and prepared in advance of each assigned testing event.
  • Coordinate with Human Resources to ensure smooth handoffs and operational processes related to recruiting, onboarding, payroll, and offboarding.
  • Proctor Operations & Administration Maintain an accurate, up-to-date Proctor Database, including onboarding status, certifications, availability, performance history, and invoices.
  • Centralize and manage proctor documentation, including onboarding materials, certification records, contracts, and invoices.
  • Manage and approve proctor payroll and/or invoices, resolving discrepancies or issues in a timely manner.
  • Quality & Performance Management Own proctor quality across all testing programs.
  • Develop, implement, and maintain proctor evaluation, feedback, and performance management tools and processes.
  • Conduct individual meetings with proctors as needed for training, coaching, check-ins, and performance support.
  • Address performance issues promptly to maintain high standards of testing integrity and participant experience.
  • Communication & Engagement Develop and maintain a positive, engaged, and communicative proctor community.
  • Provide regular updates and communications to proctors via Slack, email, newsletters, and other channels.
  • Promote upcoming testing opportunities and work to retain a qualified, engaged, and reliable proctor pool.
  • Serve as a primary point of contact for proctors, addressing questions, concerns, and operational needs.
  • Data, Reporting & Continuous Improvement Define and maintain ongoing data and reporting related to proctor staffing, utilization, performance, and coverage.
  • Partner with Assessment Leads to understand current and future proctor needs, including district- or program-specific requirements related to format, qualifications, or certifications.
  • Champion improvements to processes, tools, and systems to continually improve proctor quality, efficiency, and experience.
