About The Position

The Procedure Scheduler plays a critical role in the healthcare delivery process by efficiently coordinating and scheduling medical procedures for patients within a healthcare facility. This position ensures that all procedural appointments are accurately booked, taking into account physician availability, patient needs, and resource allocation to optimize operational flow. The Procedure Scheduler acts as a liaison between patients, healthcare providers, and administrative staff to facilitate clear communication and timely scheduling. By managing appointment logistics and maintaining detailed records, this role directly contributes to enhancing patient satisfaction and supporting clinical teams in delivering high-quality care. Ultimately, the Procedure Scheduler helps to streamline procedural workflows, reduce scheduling conflicts, and improve overall healthcare service efficiency.

Requirements

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Previous experience in medical scheduling, healthcare administration, or a related field.
  • Familiarity with medical terminology and healthcare procedures.
  • Proficiency in using electronic health record (EHR) systems and scheduling software.
  • Strong organizational and communication skills.

Nice To Haves

  • Certification in medical office administration or healthcare scheduling (e.g., Certified Medical Administrative Assistant).
  • Experience working in a hospital or outpatient clinical setting.
  • Knowledge of insurance verification and pre-authorization processes.
  • Ability to handle multiple tasks in a fast-paced environment with attention to detail.
  • Bilingual skills to assist a diverse patient population.

Responsibilities

  • Coordinate and schedule medical procedures by communicating with patients, physicians, and clinical staff to confirm availability and requirements.
  • Verify patient information, insurance coverage, and pre-authorization needs to ensure compliance and smooth processing of procedures.
  • Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software.
  • Manage appointment changes, cancellations, and rescheduling while minimizing disruptions to clinical operations.
  • Provide timely reminders and instructions to patients regarding their scheduled procedures to enhance preparedness and reduce no-shows.
  • Collaborate with multiple departments to resolve scheduling conflicts and optimize resource utilization.
  • Assist in generating reports related to procedure volumes, scheduling efficiency, and patient flow metrics.
