About The Position

The Principal Administrative Coordinator provides high-level administrative support to the National Security Directorate (NSD) Field Intelligence Element (FIE) Operations Division Director. This role is crucial for achieving the division's internal management, organizational, operational, and staffing objectives. The coordinator anticipates and prioritizes tasks, manages communications, and provides mentorship to the administrative team, ensuring efficient support for management and staff. The position requires a thorough understanding of the directorate's business and programs, as well as the ability to maintain composure under pressure while managing shifting priorities.

Requirements

  • High school diploma/GED with 12 years of relevant experience in an administrative environment, or an AA degree or higher with 10 years of relevant experience.
  • Experience in planning meetings and coordinating travel.

Nice To Haves

  • Advanced administrative education, training, and/or certifications.
  • Demonstrated knowledge of organizational policies and systems.
  • Prior experience supporting senior staff/managers.
  • Prior experience working in DOE or laboratory systems.
  • Calendar management experience.
  • Experience with prioritizing and managing incoming communications.
  • Prior or active security clearance.

Responsibilities

  • Effectively manage the Division Director's calendar to optimize time and flexibility.
  • Ensure action items and commitments are prioritized, tracked, and completed in a timely manner.
  • Review and analyze incoming communications and respond or refer as necessary.
  • Coordinate travel arrangements for the Division Director, both domestic and foreign.
  • Schedule and organize meetings, including developing agendas and coordinating logistics.
  • Assemble and research information for ad-hoc requests, meetings, and presentations.
