About The Position

A Maintenance Planner / Scheduler is responsible for tracking and coordinating maintenance plans to ensure efficient and timely upkeep of equipment, machinery, and facilities. They schedule work orders, allocate resources, and prioritize tasks to minimize downtime and support production goals. The role involves collaborating with our technicians, customers, and our parts department to complete at a minimum 95% scheduled / preventative maintenance on time while assisting our technicians to be as efficient as possible. Strong organizational, planning, and communication skills are essential for success in this role.

Requirements

  • Education: High School Diploma or equivalent
  • Experience: 1–4 years of experience in dispatching, fleet maintenance, or logistics (forklift-specific experience is highly preferred)
  • Technical Knowledge: Familiarity with forklifts, Material Handling Equipment (MHE), and basic mechanical repairs
  • Software Proficiency: Experience with MS Office (Excel) and Quipware systems.
  • Communication: Strong verbal and written communication skills to interact with customers, technicians, other departments and management
  • Organization: Exceptional multitasking skills and the ability to work under pressure.

Responsibilities

  • Preventive Maintenance Scheduling: Using existing business system and PM scheduler, manage a master schedule for weekly, monthly, and annual maintenance checks to avoid equipment downtime.
  • Dispatching Technicians: Assign service technicians to currently due and past due scheduled maintenance based on priority, skill level, and availability, responding to both scheduled and emergency requests.
  • Logistics & Coordination: Coordinate with the customer / machine owner, parts department and technician to ensure required parts, tools, and materials are available for preventative maintenance and additional need repairs.
  • Record Keeping: Maintain and update logs of maintenance activities, service calls, and equipment history in a Computerized Maintenance Management System (CMMS) or ERP.
  • Customer/Operator Communication: Communicate with operators and warehouse supervisors to confirm service appointments, provide ETAs for scheduled and preventative maintenance service calls, and update them on equipment status.
  • Back up to Service Dispatch when needed: receive incoming customer service calls and dispatch to technicians as needed
  • Workorder Closing & Invoicing: Track technician clocked time, labor hours, and add to work order. Verify all parts used.  
  • Ability to work in a constant state of alertness and safe manner
