Trane in Pine Brook, NJ is hiring a Prevailing Wage Administrator to manage all administrative tasks related to technician orientation, documentation, and compliance for public work service calls. This role ensures proper paperwork, timely orientations, and adherence to New Jersey prevailing wage laws, which are essential for maintaining eligibility for public work. Daily responsibilities include reviewing internal reports to identify jobs requiring prevailing wages, conducting orientation meetings with technicians, coordinating with payroll to determine correct wage rates, creating required job-specific documents using digital tools, uploading them to acknowledgment platforms like DocuSign, and maintaining accurate compliance records.

Requirements

  • High School diploma or GED and up to two (2) years of related experience and/ or training; or equivalent combination of education and experience.
  • Proficiency using a computer, Microsoft office applications, PDF editor, among other computer applications.
  • Must have strong communication skills, ability to multi-task, proactive approach with willingness to work independently as well as part of a team.
  • High attention to detail and ability to follow a consistent process while maintaining accurate records.
  • Proven experience prioritizing tasks in order to meet tight deadlines within a high-paced environment.
  • Ability to collaborate and adapt to a wide variety of professionals
  • Flexibility to work overtime as required.

Responsibilities

  • Review daily service schedules to identify all service calls and project work that meet the NJ “public work” criteria (including equipment startups for new construction, emergency service calls, quoted repairs for public bodies, and certain turnkey replacements).
  • Maintain an updated tracking system of upcoming public work assignments and required orientation deadlines.
  • Coordinate and conduct mandatory orientation meetings for technicians assigned to public work projects, ensuring meetings occur no more than three days prior to work commencement.
  • Communicate requirements clearly to technicians and answer process‑related questions.
  • Complete all required NJ Department of Labor documentation (including the MW‑212 form) for each technician on each applicable job.
  • Determine and document the correct prevailing wage rate based on job classification and project criteria.
  • Upload required documents into DocuSign and prepare individualized electronic packets for technician signature.
  • Distribute DocuSign links and follow up as needed to ensure timely completion.
  • Track pending, in‑progress, and completed technician signatures to ensure all required documents are returned before the technician starts work.
  • Organize, store, and maintain all documentation according to legal and audit requirements.
  • Assist in preparing files or summaries for internal or state audits related to prevailing wage and public work compliance.
  • Partner with Legal and HR to ensure processes remain aligned with evolving state requirements.
  • Work closely with Service Operations, Dispatch, Field Supervisors, and Technicians to proactively manage workflow and minimize delays.
  • Collaborate with the Legal team to ensure forms, procedures, and communications remain compliant.
  • Provide feedback to leadership regarding workload patterns, compliance risks, and process improvement opportunities.
