This role combines traditional legal support with key responsibilities for managing client correspondence, including turn-down letters, and handling the file closing process. The ideal candidate has a strong work ethic, exceptional organizational skills, and thrives in a fast-paced legal environment.

Requirements

  • High school diploma or GED required, associate or bachelor’s degree in legal studies, Paralegal Studies, or related field preferred.
  • At least 2 years of experience as a legal assistant, litigation assistant, or administrative assistant in a law firm or corporate legal department.
  • English and Spanish preferred.
  • Experience in personal injury, workers’ compensation, premises liability, or related practice areas preferred.
  • Exceptional organizational, writing, and communication skills with attention to detail.
  • Ability to multi-task, prioritize, and manage deadlines in a fast-paced environment.
  • Proficiency in Microsoft Word, Excel, Outlook; typing speed of at least 35 wpm.

Nice To Haves

  • Paralegal certificate is a plus.

Responsibilities

  • Draft, review, and send client correspondence, ensuring accuracy, professionalism, and compliance with legal and firm standards.
  • Manage the file closing process, including: Verifying all documentation is complete and organized.
  • Ensuring all final communications, and document returns are processed.
  • Archiving and storing closed files in accordance with firm policy and regulatory requirements.
  • Maintain accurate client records and database updates for closed matters.
  • Assist attorneys and paralegals with administrative tasks related to case closure and client communication.
  • Handle sensitive and confidential information with discretion.
  • Implement and improve administrative processes for greater efficiency.

  • Perform other related duties as assigned to meet the needs of the business.
