About The Position

Full-time position available on or after February 2, 2026 in the Office of the President. The Presidential Aide provides high-level administrative, scheduling, and operational support to ensure the effective functioning of the Office of the President. Working closely with the Chief of Staff, the position strategically manages the President’s calendar, meetings, travel, and events, balancing competing priorities to align with institutional goals. The Presidential Aide serves as a key liaison between the President, campus leadership, the CSU system, and external stakeholders, ensuring the President is well-prepared for all engagements with accurate information, materials, and briefings. This role requires exceptional judgment, discretion, and professionalism in handling highly sensitive and confidential matters. The Presidential Aide coordinates logistics for presidential travel and events, drafts and edits correspondence and reports, and monitors CSU policies and reporting requirements to support timely compliance. Additionally, the position provides technology coordination to support the President’s needs and represents the office in meetings and committees as assigned.

Requirements

  • Five years of progressively responsible work experience as a secretary, executive secretary, or staff assistant which has demonstrated the knowledge skills and abilities listed below; or a combination of education and experience which demonstrates that the applicant has acquired the knowledge skills and abilities listed below.
  • Thorough knowledge of modern equipment, office practices and procedures and business arithmetic, grammar, spelling, and punctuation.
  • Thorough knowledge of principles and techniques of organization, administration and management as well as organizational structure, functions and activities of higher education.
  • Ability to manage multiple assignments
  • Ability to prioritize and set deadlines, complete projects on schedule
  • Ability to identify appropriate applications of a wide variety of complex written policies and procedures.
  • Ability to apply a high degree of judgment, discretion and initiative in coordinating activities associated with the president's office such as meetings, projects, executive personnel searches.
  • Ability to reply to inquiries, gather information, conduct research, and prepare reports, letters, and policy statements.
  • Ability to handle highly confidential and sensitive matters.
  • Ability to communicate with the president appropriately.
  • Ability to use tact and good judgment in responding to requests for information and/or interpretation of policies or procedures.
  • Ability to establish and maintain effective working relationships with high ranking campus administrators, community leaders, and the public.
  • Ability to manage the president's appointment calendar and maintain the budget.
  • Ability to coordinate and evaluate the work of clerical and/or secretarial personnel assigned to the president's office.
  • Ability to read and write at a level appropriate to the position.

Nice To Haves

  • Bachelor’s degree in business administration, public administration, communications, or a related field.
  • 5+ years of progressively responsible administrative support experience at the executive level, preferably in higher education, public administration, or a complex organization.
  • Experience planning and coordinating high-profile meetings, events, and travel involving diverse stakeholders (internal and external).
  • Experience drafting, editing, and reviewing correspondence, reports, or presentations for executive leadership.
  • Experience liaising with senior leadership, governing boards, and external constituents, including donors, community leaders, or system-level administrators.
  • Experience working in environments with shared governance, collective bargaining, or complex organizational structures (preferred in CSU or higher education).

Responsibilities

  • Manages and strategically plans the President’s schedule, meetings, and commitments in consultation with the Chief of Staff.
  • Coordinates high-level internal and external meetings (Cabinet, CSU system-wide, Academic Senate, donors, community partners, etc.) ensuring alignment with institutional priorities.
  • Plans and manages all aspects of presidential travel, off-site meetings, and event participation, including logistics, briefing materials, and follow-up.
  • Ensures comprehensive preparation for events by securing agendas, background materials, and coordinating with on- and off-campus partners.
  • Provides high-level administrative support including confidential correspondence, report preparation, and records management.
  • Monitors CSU system policies, deadlines, and reporting requirements; represents the Office of the President in meetings as delegated.
  • Ensures the smooth and efficient operation of the President’s Office in partnership with Office of the President team members.
  • Supports the President’s day-to-day technology needs and ensures equipment and systems remain current and functional.
