About The Position

Adolfson & Peterson Construction, one of the nation’s top contractors, is recruiting for a Preconstruction Coordinator. This role will provide departmental administrative support in gathering, calculating, and compiling data for use in creating project and proposal estimates. In addition, will build and sustain utilization of disadvantaged business enterprises (DBE) and compliance with publicly funded projects. Document, review, audit, and train team members on DBE activities.

Requirements

  • High School diploma required.
  • 3 or more years of related construction office experience, ideally including experience working with publicly funded projects and requirements.
  • Knowledge of basic construction terminology and general knowledge of estimating principles/polices preferred.
  • Advanced Microsoft Office Suite skills and the ability to learn other software programs quickly.
  • Demonstrated high attention to detail and proven administrative skills.
  • Experience cultivating an active network of relationships, driving collaboration and alignment, relating well to colleagues and connecting with employees at all levels.
  • Demonstrated knowledge, practical experience with or ability to quickly learn Federal, state and local laws and regulations that pertain to DBE compliance, publicly funded projects and related programs, including construction practices and contracts.
  • Demonstrated integrity and ethical standards.
  • Developed skills (written, oral, and listening) in order to effectively communicate with diverse audiences.
  • Ability to efficiently manage multiple projects and priorities simultaneously under time constraints.
  • Ability to participate in evening or weekend events as needed.

Responsibilities

  • Take personal responsibility for working safely within an Incident and Injury Free (IIF) culture.
  • Provide administrative support to the regional preconstruction teams
  • Assist in updating and facilitating the Preconstruction process map.
  • Work with the Preconstruction team in scheduling project Kickoff meetings and Estimate reviews.
  • Understand project requirements, including DBE requirements, and track company compliance.
  • Document all project DBE efforts and disseminate information to project team members to be used throughout the process.
  • Assist in drafting DBE narratives and responses used in the bid process and project reporting.
  • Serve as a liaison between the regions and risk management when a Bid Bond is required for Hard Bids.
  • Coordinate and assist in the onboarding of new estimators.
  • Process plans and specifications.
  • Assist in the downloading of project and pursuit documents from multiple websites.
  • Responsible for organizing and maintaining drawings/specifications within the project/pursuit folders.
  • Responsible for organizing electronic drawings by discipline and operating group for the preconstruction teams.
  • Facilitate collaborative team processes among project participants.
  • Lead the coordination of department events such as meet and greets, lunch & learns.
  • Coordinate with the lead estimator when lunch is needed for estimate reviews.
  • Communicate with design teams and owners, as needed.
  • Train and coach team members on DBE project requirements.
  • Request Phase codes for active pursuits within Unanet.
  • Manage and maintain an RFP/RFQ watch list.
  • Monitor and update active stage 2 & 3 pursuits utilizing Unanet and Smartsheet.
  • Build and maintain subcontractor relationships; assist with the facilitation of bids and presentations.
  • Create and maintain all subcontractor bid solicitations for the Midwest region.
  • Become a master user, and trainer for the bid solicitation software; currently iSqFt.com.
  • Act as administrator for regional solicitation software users.
  • Train secondary users on solicitation software.
  • Monitor active solicitations for subcontractor interest.
  • Maintain multiple active subcontractor databases and primary directory.
  • Increase availability of minority and women-owned subcontractors.
  • Act as the primary point of contact for subcontractors during in-person visits.
  • Coordinate and plan an annual subcontractor event.
  • Represent region at subcontractor and industry events.
  • Network with DBEs and create opportunities for DBEs to connect with team members.
  • Lead administrative activities and team members.
  • Participate in activities to attract, develop, and retain team members.
  • Participate in creating and nurturing a collaborative environment and team member engagement.
  • Ensure team members have the necessary resources and support.
  • Other duties as assigned.
