The Practice Support Team Specialist is responsible for providing point-of-contact administrative support to assigned attorneys within our Private Wealth Practice Group. This role involves successfully managing multiple projects and priorities, including delegating specific duties to other teams. The Specialist works in a Practice Support Team of Specialists, sharing overflow responsibility and support to all timekeepers assigned to the team. Effective communication is essential, as the Specialist must interact courteously and professionally with clients, visitors, staff, and timekeepers. The position requires executive-level attention to detail, good grammar, spelling, and proofreading, as well as strong technical and organizational skills. Essential job duties include coordinating all workflow for assigned attorneys, delegating specific tasks to other teams, and ensuring follow-up and quality control. The Specialist prepares documents by typing, transcribing, revising, and proofreading legal documents accurately, prioritizing assignments, and meeting specific deadlines on projects. Additionally, the role involves coordinating schedules, assisting in coordinating timekeeper calendars, making travel arrangements, and preparing itineraries. The Specialist also coordinates accounting administrative functions, including client billing matters and tracking alternative fee arrangements. Other responsibilities include processing new client/matter intake, managing mail communications, and providing general administrative support. The Specialist must demonstrate effective teamwork and communication with team members and all Firm personnel, actively participating in regular team meetings to discuss current projects and workflow. Proficiency in Private Wealth law is essential, as the Specialist will support the Private Wealth practice group with e-filing, calendar coordination, document edits, and pleadings. The role requires operating office equipment and coping successfully with demands from timekeepers while maintaining confidentiality in all business dealings.
