About The Position

Oversees daily functioning of all operational systems in the office, ensuring the implementation and adherence of business policies and procedures for daily operations. This role involves setting daily operational and patient priorities, evaluating workflow, assigning tasks, and ensuring duties align with UHMSO policy. The supervisor provides direct supervision to all office support staff, establishes work priorities, manages staff scheduling and coverage, and approves overtime, vacation, and time off requests. They conduct or coordinate regular office staff meetings and act as a Kronos Timekeeper. The position also includes orienting and training new and current staff on office protocols and job responsibilities, coaching staff for patient throughput, maintaining employee performance documentation, communicating performance issues to the Administrator, assisting with continuing education planning, and completing performance reviews. In collaboration with HR, the supervisor participates in decisions regarding hiring, corrective action, and terminations. They are responsible for promoting positive customer relationships, troubleshooting issues, and updating the Administrator on significant activities. Financial responsibilities include assessing and resolving patient balance billing issues, driving practice revenue enhancement and expense reduction initiatives, and meeting financial objectives, including collecting patient balances, co-pays, and co-insurance. The supervisor recommends operational improvements, collaborates with leads and providers to design and implement programs for efficiency, provides action plans for UHPS initiatives, and coaches staff through project implementation. They collect and analyze data for business efficiency and practice growth, and manage or delegate all office lab functions, ensuring compliance with laws and procedures for vaccines, patient samples, log books, and equipment. Additionally, they work with providers to ensure timely charge submission.

Requirements

  • High School Equivalent / GED
  • 3+ years Of healthcare experience
  • Excellent interpersonal and communication skills
  • Able to relate effectively with a wide variety of people
  • Able to prioritize, delegate, and follow up
  • Computer literate with word processing and spreadsheet knowledge
  • Understanding of medical terminology
  • Understanding of third-party reimbursement requirements
  • Knowledge of CPT and ICD-10 coding

Responsibilities

  • Assume role of, or delegate all functions with regards to the office lab
  • Ensure all applicable laws, rules, and procedures are followed concerning typical lab functions, including: vaccines, patient samples, log books, and equipment
  • Work with assigned providers to ensure charges are submitted in a timely fashion
  • Perform other duties as assigned
  • Comply with all policies and standards
  • Abide by all requirements to safely and securely maintain Protected Health Information (PHI) for our patients
