Job Summary Position Summary Under general supervision, performs administrative functions to support smooth and efficient practice operations. Responsible for coordinating tasks related to patient visits, including scheduling, check-in, and check-out activities. Specific duties may vary by department.

Requirements

  • High School Diploma or equivalent required
  • Minimum of 2–3 years of office or administrative experience required, preferably in a healthcare or medical office setting
  • Proficiency in Microsoft Office Suite and general computer applications
  • Knowledge of standard office operations and administrative procedures, including filing, copying, scanning, printing, and faxing
  • Ability to operate a multi-line phone system, manage non-routine calls, and appropriately resolve routine issues
  • Strong written and verbal communication skills with the ability to communicate effectively with patients, staff, and leadership
  • Ability to read and understand written documents and correspondence, including emails, memos, and letters, and to take accurate and complete messages
  • Strong organizational and time management skills with the ability to manage multiple priorities, follow established protocols, and work efficiently within systems
  • Bilingual Spanish required

  • Certified Medical Administrative Assistant (CMAA) preferred

Responsibilities

  • Perform routine administrative and clerical duties in support of a clinical service or physician practice office.
  • Schedule patient appointments and maintain accurate appointment records.
  • Greet and assist patients in a professional and courteous manner.
  • Answer telephone calls, respond to routine inquiries, and schedule appointments.
  • File materials in patient folders and print daily appointment schedules.
  • Process patient billing forms and scan documents into the patient’s electronic medical record in EPIC.
  • Obtain patient medical records and laboratory test results as needed.
  • Open, sort, and distribute incoming mail and faxes.
  • Prepare and type forms, records, schedules, and memos as directed.
  • Collect patient co-payments when required.
  • Handle, screen, and/or take messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Serve as an EPIC “Super User” for scheduling, registration, and billing systems (training provided).
  • Provide assistance and training to staff in EPIC-related processes.
  • Perform more complex or specialized tasks as needed, such as surgical scheduling or provider schedule management at an advanced competency level.
