About The Position

Children’s Dental Center and Parkway Orthodontics are a jointly operated multi-specialty dental clinic located in south-central Sioux Falls, SD. The Practice Manager leads all aspects of the daily practice operations, including managing a large staff of clinical and administrative employees, owning the practice budget, and maintaining a variety of other areas to keep the practice running efficiently. The ideal candidate will have experience in multi-specialty clinic operations, strong staff management skills, and a people-first mentality. Children’s Dental Center and Parkway Orthodontics partner with a dental service organization called Specialty Dental Brands (SDB) to provide practice management support services. The Practice Manager acts as the liaison between the practice and SDB, utilizing the support services to assist in the daily operation of running the practice.

  • 3+ years of relevant experience in a management role, preferably in a multi-specialty clinic environment.
  • Bachelor’s degree in healthcare administration, business administration, human resources, or related preferred.
  • Any such combination of experience and education acceptable to the hiring manager.

Responsibilities

  • Serve as the practice leader and foster a positive and collaborative workplace culture.
  • Be a strong proponent for celebrating wins and solving challenges.
  • Create office policies that unify standards appropriately.
  • Lead monthly staff meetings and doctor meetings, creating an agenda and delivering messages appropriately.
  • Assume overall responsibility of daily practice operations in conjunction with Doctors, Assistant Practice Manager, Team Leads, and SDB.
  • Monitor practice schedules and track KPIs to measure performance.
  • Address patient/parent concerns in a calm and respectable manner.
  • Adhere to HIPAA regulations for patient confidentiality.
  • Manage a large staff of 70 clinical and administrative employees with assistance from the Assistant Practice Manager and Team Leads.
  • Ultimately responsible for ownership of staff personnel files, timecards, and payroll.
  • Perform annual performance reviews and wage adjustments.
  • Monitor staff attendance and ensure the office attendance policy is followed.
  • Hire for open positions, including conducting interviews and onboarding new staff.
  • Perform disciplinary action and conduct conflict resolution when necessary.
  • Complete credentialing processes for doctors and staff.
  • Participate in the Social Committee to plan employee functions in and out of the office.
  • Understand basic terminology of billing codes and insurance payment processes.
  • Ensure practice billing operates effectively and track billing KPIs.
  • Work with a third-party revenue cycle vendor to ensure payments are collected and posted to patient accounts correctly.
  • Assist revenue cycle teams and troubleshoot problems when necessary.
  • Understand and own the practice budget, ensuring financial targets are met.
  • Responsible for company credit cards, transactions, reporting, and bank deposits.
  • Run daily, monthly, and annual reports.
  • Serve as the first point of contact for IT problems and help staff troubleshoot basic daily IT issues.
  • Create and monitor tickets in the IT system for tasks that require additional IT support.
  • Implement large-scale IT projects as needed.
  • Ensure practice brand is prevalent in the market by means of activities, social media, sponsorships, and partnerships.
  • Provide guidance to the Assistant Practice Manager to handle daily marketing tasks.
  • Maintain relationships with referring offices and partner organizations.
  • Oversee procurement activities, allowing designated staff to purchase necessary supplies.
  • Ensure staff orders are documented correctly in the procurement software system.
  • Order office supplies, janitorial supplies, and other items as needed.
  • Responsible for the maintenance and upkeep of two commercial buildings and dental equipment.
  • Communicate and schedule repairs with third-party contractors when necessary.
  • Complete facility upgrades and capital improvement projects.
