About The Position

Guiding Star Southwest, a division of Southwest Coalition, Inc., is searching for an experienced Practice Manager to join its mission in expanding life-affirming medical and birth services for women in El Paso, Texas and Las Cruces, NM. As an affiliate of the national Guiding Star Project and inspired by St. Mary, Our Lady Star of the Sea, Guiding Star Southwest is committed to delivering trauma-informed healthcare that respects the whole person by considering a woman’s mind, body, and soul. The organization’s focus spans the full spectrum of women’s health, from puberty through perimenopause, and emphasizes fertility, pregnancy, childbirth, breastfeeding, and motherhood, while striving to reduce trauma by advocating against societal pressures that may compromise the natural functions of a woman’s body. The ideal candidate is a diligent leader with a servant’s heart, eager to support the strategy and service of Guiding Star Southwest. As the organization expands its core services to include a birth center in alignment with Wholistic Feminism, the practice manager will be responsible for working closely with providers and leaders. The Practice Manager will administratively lead the medical and birth facilities to ensure the best and more compassionate care for clients. A successful Guiding Star Southwest Practice Manager should be dedicated and focused on providing top-quality support to providers, always keeping in mind the experience and care for patients, and focused on “wholism” or whole-person care which considers a person’s mind, body, and spirit. The role requires a strong working knowledge of trauma-informed women’s healthcare, as well as a patient, caring, and detail-oriented personality. Southwest Coalition, Inc., is a 501(c)(3) non-profit corporation focused on restoring reverence for the sanctity of human life and natural womanhood across the Southwest through a coalition of nonprofit social enterprises in line with Catholic and Biblical teaching, including Guiding Star Southwest women’s medical centers, The Lily Pad Maternity Home, Her Care Connection outreach and mobile medical bus, and Coalition for Life ministries. Requirements

  • Bachelor’s degree in Healthcare Administration, Business, or related field (or equivalent experience).
  • Minimum 3–5 years of management experience.
  • Required to commute to and from work locations across state lines.
  • Fluent in English and Spanish.

Responsibilities

  • Responsible for the administrative oversight of Guiding Star Southwest Birth and Wellness Center in accordance with Commission for the Accreditation of Birth Centers (CABC) standards.
  • Ensures compliance with regulatory requirements, accreditation readiness, quality improvement activities, risk management, and sustainable operations while supporting midwifery-led, patient-centered care.
  • Works collaboratively with clinical leadership to ensure safe birth center operations, effective governance support, and a high-quality patient experience across prenatal, intrapartum, postpartum, gynecologic, and wellness services.
  • Support the Leadership Team in fulfilling CABC governance responsibilities.
  • Ensure administrative policies and procedures align with CABC standards.
  • Prepare reports for leadership team meetings (operations, finance, quality, risk).
  • Maintain documentation of governing body actions, approvals, and oversight.
  • Facilitate communication between leadership and clinical staff.
  • Develop, implement, and maintain CABC-compliant policies and procedures.
  • Ensure policies are reviewed, updated, and approved per CABC timelines.
  • Maintain organized, survey-ready policy manuals and records.
  • Ensure staff education and adherence to approved policies.
  • Coordinate documentation management and record retention standards.
  • Coordinate the birth center’s Quality Assessment and Performance Improvement (QAPI) program.
  • Track clinical and operational quality indicators required by CABC.
  • Facilitate regular quality review meetings and documentation.
  • Support data collection for outcomes, transfers, adverse events, and trends.
  • Implement corrective action plans and continuous improvement initiatives.
  • Oversee incident reporting, investigation, and follow-up.
  • Ensure compliance with emergency preparedness and safety plans.
  • Coordinate drills and staff training (emergency transfers, fire, disaster, newborn emergencies).
  • Maintain risk management logs and review processes.
  • Support infection control and environmental safety standards.
  • Ensure appropriate staffing levels for clinic and birth center operations.
  • Maintain staff credentialing, licensure, competencies, and required certifications.
  • Track skills validation.
  • Support staff evaluations and professional development.
  • Oversee daily operations of the clinic and birth center.
  • Ensure physical environment meets CABC facility and safety standards.
  • Coordinate equipment maintenance, calibration, and supply management.
  • Oversee vendor relationships and service contracts.
  • Ensure readiness for inspections, surveys, and audits.
  • Maintain ongoing readiness for CABC accreditation and re-accreditation.
  • Coordinate preparation for surveys, including documentation and staff readiness.
  • Track and respond to corrective action plans, recommendations, or findings.
  • Ensure compliance with state licensure, Medicaid, and regulatory requirements.
  • Serve as primary administrative contact for accrediting and regulatory bodies.
  • Ensure patient-centered, respectful, and culturally responsive care processes.
  • Oversee patient communication, intake, and feedback processes.
  • Address patient concerns and grievances per CABC requirements.
  • Support informed consent and education workflows.
  • Participate in community outreach and referral relationships.
  • Oversee EHR and practice management systems.
  • Ensure secure, accurate, and compliant documentation.
  • Support data reporting for quality, accreditation, and regulatory needs.
  • Maintain confidentiality and HIPAA compliance.
