About The Position

The Practice Manager at Saugus Animal Hospital is responsible for overseeing the financial and operational aspects of the veterinary practice. This role involves collaborating with hospital leadership to ensure efficient daily operations and financial performance while leading the team to provide exceptional care for clients and their pets. The Practice Manager also plays a key role in human resources, operations, marketing, and financial management, ensuring compliance with regulations and fostering a positive work environment.

Requirements

  • High school diploma or GED; or one to two years of veterinary or human healthcare experience and/or training; or equivalent combination of education and experience.
  • Certification in Veterinary Practice Management preferred.
  • Working knowledge of Adaptive and Netsuite accounting systems; MS Excel, MS Word, and MS PowerPoint; experience with veterinary software is a plus.

Responsibilities

  • Administrate all human resource functions including staff recruitment, hiring, training, scheduling, performance evaluations, counseling, and terminations.
  • Manage annual performance evaluations for supervised staff with assistance from department leads.
  • Implement and maintain Employee Safety and Disaster Plan procedures and manuals.
  • Ensure compliance with OSHA and Workers' Compensation programs.
  • Distribute necessary communication materials with staff, including policy changes and client feedback.
  • Mediate personnel grievances and document all reprimands and counseling meetings.
  • Keep CVP management informed of relevant issues regarding staff, client issues, and equipment needs.
  • Respond to client concerns in a timely manner and resolve medical client complaints in partnership with the Lead Veterinarian.
  • Implement marketing activities in partnership with CVP and the Lead Veterinarian.
  • Ensure premises and equipment are in safe, clean, and optimum working condition, including scheduling regular maintenance.
  • Ensure compliance with all regulatory issues including radiation monitoring and business permits.
  • Maintain and amend client education handouts as necessary.
  • Oversee inventory purchasing and management within budget guidelines.
  • Schedule and attend all required meetings, including staff meetings and hospital leadership team meetings.
  • Administer the hospital's patient reminder system.
  • Oversee implementation of client wellness program and monitor compliance in partnership with CVP.
  • Monitor the hospital email and manage the hospital practice management system.
  • Complete additional hospital projects as assigned.
  • Monitor, implement, and evaluate client communications such as direct mail and social media accounts.
  • Lead the development of referral relationships with humane societies and pet stores.
  • Attend community functions to build potential client base.
  • Participate in the yearly budgeting process and monthly P&L reviews, discussing financial reports with the lead doctor.
  • Proactively monitor financial progress of the hospital and adjust as necessary to achieve budget goals.
  • Partner with RDO to submit capital expense requests per CVP guidelines.
  • Verify accuracy of vendor statements and match invoices to statements.
  • Prepare the weekly CVP Business Package.
  • Manage bi-weekly payroll process and oversee daily cash and check deposits.
