About The Position

Bloomingdale Dental Care is seeking an enthusiastic Full-Time Practice Lead to join our team. This role is responsible for the overall day-to-day operations and performance of the dental practice. This role provides on-site leadership, ensures front office and coordination functions are completed accurately, monitors production and collection goals, and supports providers and staff in maintaining an efficient and positive work environment. The Practice Lead plays a critical role in team accountability, patient experience, and financial health of the office. The ideal candidate is professional, compassionate, highly organized, and an excellent communicator. This individual sets the standard for front desk performance, patient interactions, and teamwork. As a working lead, they guide and support front desk staff while collaborating closely with clinical team members. Patient care and meeting patient needs are the top priorities for all employees.

Requirements

  • Proven experience in a front desk or administrative role, preferably in a dental office.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Knowledge of dental terminology, procedures, and insurance processes.
  • Proficient in using dental office software and general office applications.
  • High school diploma or equivalent

Responsibilities

  • Assume responsibility for the day-to-day success and performance of the practice.
  • Maintain visibility into all staff roles, responsibilities, and task completion.
  • Lead daily morning huddles and ensure preparedness of schedules, metrics, and priorities.
  • Schedule and lead monthly staff meetings in partnership with the Area Manager.
  • Partner with Area Manager to conduct staff performance reviews.
  • Train and onboard new team members.
  • Approve staff time off requests.
  • Coordinate coverage for vacations, illnesses, and unexpected absences.
  • Partner with Area Manager on staffing needs and workload balance.
  • Monitor and drive production and collection goals for the practice.
  • Process payroll and ensure timekeeping accuracy.
  • Track production, collections, hygiene performance, treatment acceptance, and appointment failures.
  • Manage outstanding accounts receivable and oversee collections efforts.
  • Ensure accurate end-of-day balancing and timely cash deposits.
  • Partner with Operations Team to manage building or facility issues and coordinate maintenance or vendor services.
  • Partner with Operations Team to maintain and monitor schedules to ensure staffing is appropriate. Partner with area manager when needed.
  • Greet and check in patients in a professional and welcoming manner.
  • Answer phones and manage patient communications.
  • Schedule, confirm, and adjust appointments.
  • Meet with new patients to review treatment plans and financial options.
  • Post patient charges and collect payments accurately.
  • Verify chart entries for completeness and accuracy.
  • Prepare route slips and daily documentation.
  • Work recall lists and unscheduled treatment plans.
  • Ensure end-of-day financial reconciliation is completed
