About The Position

The Practice Group Coordinator - Appellate is a strategic and operational team member responsible for supporting the day-to-day management and long-term effectiveness of the appellate practice group and its leaders. This position plays a critical role in developing and executing systems, workflows and logistics, staffing models, accounting and billing, and other resource strategies that enhance the performance and profitability of the practice group. This is a fast-paced, collaborative role that requires exceptional organizational skills, an understanding of the litigation and appellate processes, and the ability to liaise effectively between attorneys, firm leadership, and administrative departments. The Practice Group Coordinator - Appellate ensures that the practice group and its leaders are well supported, aligned with firm priorities, and equipped to deliver outstanding internal and external client service.

Requirements

  • Bachelor’s degree preferred.
  • Minimum 5 years of relevant experience in a law firm or professional services environment (with strong understanding of litigation and practice group management as a plus).
  • Proven experience managing or coordinating with legal teams or departments.
  • Demonstrated ability to drive strategic initiatives while managing tactical day-to-day operations.
  • Strong interpersonal, leadership, and project management skills.
  • Excellent written and verbal communication skills.
  • High proficiency with legal technology platforms, knowledge management tools, and Microsoft Office Suite.

Responsibilities

  • Help run and improve the daily operations of the practice group by working with the practice group leaders.
  • Make sure lawyers and staff have the right balance of work and that client needs are met on time.
  • Work with practice group leaders and firm leadership to understand business goals, plan for future needs, and allocate resources effectively.
  • Set up and manage efficient workflows, task tracking, calendars, and systems for organizing legal information that fit the group’s needs.
  • Act as a key contact between partners, lawyers, and the firm's support departments to help the practice group reach its goals. Use the skills of support teams (like billing, HR, IT, marketing, travel, etc.) to assist with group needs.
  • Find ways to make processes better and more efficient, using firm’s technology resources and proven methods.
  • Support the group’s specific needs, including creating guides, managing research tools, ensuring documents meet standards, and coordinating team activities.
  • Plan and organize regular meetings, training sessions, and communication efforts as directed by Practice Group Leaders to keep everyone informed and aligned.
  • Create and update practice group procedures to follow best practices and keep documentation current.
  • Be the main contact for the practice group’s day-to-day operations, working under the direction of the practice group leaders.
  • Build and maintain good working relationships between lawyers, staff, and firm leadership.
  • Hold regular meetings and check-ins with lawyers and staff to share news, get feedback, and keep an eye on how the team is working together, as guided by the practice group leaders.
  • Create and maintain group knowledge management, templates and research materials
  • Create and maintain case lists and assist with case organizational materials
  • Ensure all client related communications are appropriately filed in firm's document management system
