The Practice Coordinator for TCHP-Orthopedics in Redbank is a non-exempt position responsible for overseeing and coordinating both front and back office staff and functions within a physician practice. This role may require travel to multiple office locations, ensuring that operations run smoothly across all sites. The Practice Coordinator will demonstrate proficiency in various office processes, develop and implement downtime procedures, and manage conflicts that arise in the office. Timely addressing and documentation of performance and behavior concerns are crucial aspects of this role. In addition to managing daily operations, the Practice Coordinator will assist with effective hiring, orientation, and training of personnel. This includes mentoring staff, managing staffing ratios, and addressing turnover issues. The coordinator will also fill in for staff who are out or cover openings in the office as needed. Payroll approvals and ongoing performance management activities, including training, coaching, and development, will also fall under the coordinator's responsibilities. Conducting meaningful annual and initial work period performance evaluations in conjunction with the assigned Practice Manager and/or Regional Manager is essential. The role also encompasses business operations, where the Practice Coordinator will communicate and enforce written policies and procedures applicable to the practice and staff. Maintaining compliance with standards such as OSHA, CLIA, HIPAA, and medication management samples is critical. Financial responsibilities include working with the Practice Manager and/or Regional Manager to prepare, monitor, and evaluate the annual operating budget, as well as supporting the office-based components of the Revenue Cycle. This involves managing billing and collection activities, ensuring timely submission of claims, and demonstrating a general understanding of insurance reimbursement policies. Quality management and patient experience are also key components of this position. The Practice Coordinator will support the practice's participation in various quality programs and promote The Christ Hospital's standard of patient experience. Managing and supporting patient experience measures, such as Press Ganey and CGCAPS scores, will be part of the role. Additionally, the coordinator will assist with training and support of EPIC usage in the office, identifying training needs for staff and physicians, and facilitating enhancements and upgrades. Leadership skills are essential, as the coordinator will identify and engage staff in opportunities to improve practice efficiency, build effective relationships, and embrace change positively. Overall, the Practice Coordinator will be responsible for facilitating meaningful monthly staff meetings, producing electronic minutes, and performing all other duties as assigned.
