This role is ideal for someone with prior administrative assistant experience who is passionate about facilitating smooth operations across multidisciplinary teams. Banner Medical Group provides both primary and specialty care throughout the communities in which Banner Health operates. We do this in a variety of settings - from smaller group practices like our Banner Health Clinics in Colorado and Wyoming, to large multi-specialty Banner Health Centers in the metropolitan Phoenix area. We currently have more than 1,000 physicians and more than 3,500 total employees in our group and are seeking others to enhance our ability to deliver our nonprofit mission of providing excellent patient care. POSITION SUMMARY This position works closely with the Practice Management Director and Division Chief to ensure the efficient and effective operation of the assigned division(s), including day-to-day administration of Physician staff. Uses specialized knowledge, judgment, and skills necessary to provide support to the assigned division(s). This position has a strong understanding of the daily workflow of the Practice Administration and functions autonomously to provide guidance to ensure quality experiences and efficient Practice operations. This position must have the ability to navigate a variety of separate computer programs at any given time and handle multiple demands on time. CORE FUNCTIONS 1. Supports the day-to-day activities of Provider staff, ensuring a high level of productivity and Provider scheduling coverage and efficiencies. Continuously monitors the functioning of the medical division and recommends changes to operational procedures as necessary. 2. Assists with ensuring financial stewardship within the assigned Practice(s). Oversees payroll practices and works with Finance teams to ensure proper and timely provider payments. Ensures that Practice communications are timely and effective. Runs and distributes regular reports to Providers and Provider Management, e.g., delinquent patient encounters, productivity, work and call schedules, license expirations, etc. 3. Coordinates and supports Provider recruitment and on-boarding/off-boarding activities. 4. Provides advanced administrative support, which includes composing correspondence, scheduling/leading meetings, and developing/maintaining appropriate databases. Utilizes advanced computer skills/software for word processing, spreadsheets, graphics, documents, reports, and presentations in support of the division(s). 5. Oversees all functions of the assigned division(s) including reception and scheduling activities, patient service areas, accounting/finance, productivity, medical records, business information systems, and appropriate clinical areas. 6. Functions as a liaison between non-Physician staff and Physicians to ensure effective service(s) for patients. Establishes and maintains effective working relationships with group Physicians. Serves as a model team member and resource person to help provide quality patient care. 7. Supports Banner Practice Administration policies and procedures in accordance with Physician requirements, facility and system policies and procedures, standard practices of the profession, and related regulatory requirements. 8. Coordinates and participates in special projects, as assigned.

Requirements

  • Requires a level of literacy, communication, and math skills as normally demonstrated at the level of an Associate’s degree or the equivalent of two years’ experience.
  • Requires a level of knowledge and ability normally demonstrated by at least 5 years of experience in a Physician's office or medical environment.
  • Excellent verbal and written communication, organizational and human skills required.
  • Advanced administrative support experience using computers, spreadsheet, and database software required.
  • Requires project experience related to assigned area (i.e., budgeting, statistics, or other specific process knowledge).
  • Requires ability to manage multiple tasks simultaneously with minimal supervision and to work independently.
  • May require the ability to manage contract development and review process(es).

Nice To Haves

  • Experience supporting graduate medical education, fellowship, residency, or other regulated academic programs is strongly preferred; familiarity with ACGME accreditation and program requirements is a plus but not required.
  • Bachelor's degree or equivalent of 4 years’ experience preferred.
  • Experience in a leadership or coordinator capacity preferred.
  • Additional related education and/or experience preferred.

Responsibilities

  • Manage complex calendars and scheduling for providers and leadership
  • Coordinate new hire onboarding, including appointment setup and orientation logistics
  • Provide timekeeping support, including Kronos troubleshooting and entry assistance
  • Organize meetings, prepare agendas, and compile reports
  • Draft and manage high-level correspondence and assist with project coordination
  • Serve as a liaison across providers, advanced practice providers (APPs), operations, and leadership teams
  • Supports the day-to-day activities of Provider staff, ensuring a high level of productivity and Provider scheduling coverage and efficiencies.
