About The Position

The Post-Award Specialist II provides post-award financial and administrative support to Principal Investigators in the College of Medicine. This role oversees grant expenditures, prepares and analyzes financial reports, monitors subawards, and ensures compliance throughout the project lifecycle, including closeout and effort certification. The Specialist serves as a key advisor and liaison between PIs and the Office of Research, offering guidance on budgets, compliance, and post-award requirements.

Requirements

  • Bachelor's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

  • Experience in Higher Education or Research Administration.
  • Experience with budgeting and forecasting.
  • Proficiency in Microsoft Office applications, especially advanced Excel, Outlook, and Teams.
  • Experience with Huron Research Suite and/or Workday, though optional.
  • Ability to multitask in a fast-paced environment.
  • Demonstrates strong interpersonal and face‑to‑face communication skills with a strong attention to detail.

Responsibilities

  • Review grant-related expenditure requests, including payroll, travel, and procurement, to ensure allowability, allocability, and reasonableness.
  • Monitor financial activity to ensure compliance with sponsor, university, and College of Medicine policies.
  • Provide consultation and guidance to Principal Investigators on post-award matters, including budget availability, compliance requirements, limitations, and available options.
  • Serve as a liaison between Principal Investigators and the Office of Research or Research Foundation.
  • Prepare financial reports for contracts and grants.
  • Analyze spending patterns to support forecasting, budget planning, and payroll projections.
  • Monitor subawards, review invoices, and process payments in accordance with contractual and compliance requirements.
  • Guide and assist Principal Investigators with project closeouts, including tracking final expenditures, personnel transitions, and ensuring appropriateness of costs.
  • Support Principal Investigators with completion of time and effort certifications.
  • Complete required university and College of Medicine trainings and perform other duties as assigned to support the overall mission of the College.
