The University of Virginia's Office of the Executive Vice President and Provost invites applicants for the position of Policy and Faculty Actions Associate. This position reports directly to the Associate Provost for Academic Administration, provides high-level administrative, operational, and policy support, and is a member of a small and interdependent team of professional staff that plays a critical role in maintaining operational excellence and policy alignment for the Provost's Office. Success in this role requires strong analytical skills, technological acuity, discretion, a proactive approach to process improvement, the ability to manage competing priorities in a fast-paced environment, and a demonstrated record of successful collaboration.

  • Provide senior level staffing support to various committees, including primary support to the Undergraduate Policy Committee and the Graduate Policy Committee, and back-up support to the Internal Policy Committee.
  • Support and participate in the office's policy related work including the creation and maintenance of various documents, reports, handbooks, and adjacent items.
  • Support the preparation and execution of faculty and academic personnel actions for Board of Visitors' approval.
  • Extract, review, clean, and format personnel data; confirm personnel data as submitted; and route actions for approval as appropriate.
  • Review personnel-related materials and data for compliance with academic policies and identify discrepancies.
  • Provide key operational support for the execution and management of faculty appointments and other personnel actions.
  • Monitor and manage limited-term appointments and renewals using Workday.
  • Periodically clean and correct personnel data and steward personnel-related transactions to completion.
  • A Bachelor's degree, or significant relevant experience in lieu of a degree.
  • Three years' experience in a similar professional high level administrative role.
  • Excellent written and verbal communication skills.
  • Experience handling confidential and sensitive issues with tact and discretion.
  • Capacity to work independently while effectively managing multiple priorities.
  • Ability to build and sustain positive and collaborative working relations.
  • Master's degree in a related field, a J.D., or a legal or a policy background.
  • Experience in policy analysis, development, or implementation in an academic setting.
  • Experience drafting materials for governance bodies or executive audiences.
  • Experience synthesizing and analyzing feedback from multiple stakeholders with varied priorities.
  • Experience in higher education or academic administration, with experience at UVA strongly preferred.
