We’re looking for a highly organized, proactive coordinator to run the day-to-day operations of a growing podcast. You’ll own the guest pipeline, coordinate closely with the host, and handle logistics—from pre-interviews and run-of-show prep to communication and scheduling. Your north star is a consistent, on-time release schedule and a first-class guest and host experience.

  • Build and maintain a proactive pipeline of target guests aligned to the editorial calendar.
  • Drive outreach, screening, and scheduling; manage confirmations, reminders, and reschedules.
  • Prepare and collect guest assets (bio, headshot, links) and manage release forms.
  • Create concise briefing docs: guest research, suggested angles, must-ask questions, and talking points.
  • Conduct or coordinate pre-interviews and align on episode goals and run-of-show.
  • Manage calendars, holds, and time zones; ensure the host has everything needed 48 hours in advance.
  • Excellent written and verbal communication; confident engaging with guests and hosts.
  • Highly organized and dependable; able to manage details across multiple episodes and schedules.
  • Proactive, resourceful, and comfortable working independently in a fast-moving environment.
  • Strong follow-through and accountability for commitments.
  • Enthusiasm for podcasts and storytelling; eager to learn as the show grows.
