About The Position

NOVA Plastic Surgery & Dermatology is hiring a full-time Remote Patient Coordinator to function as a centralized call center for all inbound patient communication. This role owns first contact with new and existing patients across phone, webchat, and online leads, with a clear objective: convert every qualified inquiry into a scheduled consultation. This is a revenue-driving role. Performance is measured by speed, accuracy, and conversion.

Requirements

  • Direct experience in plastic surgery, dermatology, or medical aesthetics
  • Prior role in patient coordination, call center, or consult booking within aesthetics
  • Strong understanding of aesthetic treatments and patient flow
  • Proven ability to convert leads into booked consultations
  • Experience working in a CRM (GoHighLevel, Nextech, Salesforce, or similar)
  • High-volume call handling with consistent performance
  • Clear, confident communication and control of the call
  • Must be able to work during EDT time zone with hours from 9am- 6pm

Responsibilities

  • Answer all inbound phone calls without delay
  • Respond to webchats, online forms, and digital leads in real time
  • Convert inquiries into booked consultations using structured protocols
  • Schedule patients into correct appointment types based on services
  • Enter and manage all lead activity inside CRM
  • Execute follow-ups on missed calls, unconverted leads, and incomplete bookings
  • Maintain precise documentation of all interactions
  • Escalate clinical or complex questions appropriately
