About The Position

This position is under the direct supervision of the Cessation Manager. This position serves in the Cessation Section within the Bureau of Tobacco Free Florida. This position requires knowledge of tobacco control and evidence-based cessation interventions, experience to effectively network with other program offices, government agencies, and vendors/recipients, excellent verbal and written communication skills, good organizational management skills, and the ability to work independently. This position serves as a cessation consultant and contract manager for assigned contracts or purchase orders within the Cessation Section. This position requires the incumbent to maintain positive working relationships and assists the Cessation Manager in providing technical assistance regarding various tobacco cessation activities. Responsible for contract management duties for assigned cessation section contracts and purchase orders. Records verbal and written communication regarding assigned contracts or purchase orders and maintains a contract file. Functions as a team member within the Cessation Section. Assists the Cessation Manager with internal and external inquiries. Monitors activities performed by the vendors/recipients to ensure tasks are completed within the standards set by the Department. Reviews and provides technical assistance for submission of required documents. Processes all required documents for the Cessation Sections’ new, renewed or amended contracts or purchase orders. Processes all requests for payments for assigned contracts or purchase orders submitted by the vendor once deliverables have been satisfactorily completed. Travels as directed to vendor sites to conduct meetings regarding services provided in support of the Cessation Section within the Bureau of Tobacco Free Florida. Participates in contract monitoring site visits for the Cessation Section’s contracts. Immediately reports all instances to the Cessation Manager that could escalate into a management situation. Assists in the development of reports, updates, presentations, correspondence, and materials required for the implementation of various cessation projects and activities. Assist in the development of written policy both internally and externally helping to draft or revise as needed to ensure the continued success of the management team or contract staff working in the unit. Provides technical assistance and training on cessation related issues in accordance to Centers for Disease Control and Prevention Best Practices for Comprehensive Tobacco Control Programs; Attends tobacco control trainings and conferences as requested. Attends the Florida State University Tobacco Cessation Specialist training at the first available opportunity after employment. Responsible for staying up to date with the Centers for Disease Control and Prevention’s publications on tobacco control, routinely checking the Office of Smoking and Health’s website, the cessation evaluations by the cessation evaluator and overall program evaluation by the independent evaluator. Serves as the backup support contact for the Cessation Section on cross-functional teams and special projects. Performs other duties and responsibilities as requested.

Requirements

  • Ability to effectively network with other programs, government and community agencies and to work with considerable independence.
  • Knowledge of tobacco control and prevention planning and implementation oral and written communication skills, and policy development.
  • 2-3 years’ experience as Contract Manager
  • Must be willing to physically come in the office to perform the duties & responsibilities of the position.
