The Planner/Scheduler role (Schedule Focus) is primarily focused on Maintenance Scheduling within the Maintenance Planning and Execution (MPE) process. They work to develop a comprehensive schedule of weekly/monthly maintenance work to communicate expected work and maximize maintenance productivity. Effective schedules include details on date of work, specific jobs/tasks, crafts involved, and the expected duration. The schedules are also leveled based on resource availability. In a secondary aspect the scheduler will also support periodic planning. In this capacity, they will provide a detailed plan, in the form of a job package, for each task and the resources required to complete a work order, as assigned by the Production Maintenance Coordinator (PMC) or the planner’s immediate supervisor. Planning involves receiving a notification and transforming it into a work order, scoping out the job in the field, identifying materials needed, estimating manpower and equipment needs, and creating a timeline and sequence for the job.

Requirements

  • Must have the ability to periodically be on call.
  • Must be available during off hours to support unexpected plant equipment issues and downtime.
  • Must have at least 5 years of relevant industry experience.
  • A high school diploma is required.
  • Must have a strong plant aptitude.
  • Proficient computer skills required.
  • Must be extremely familiar with SAP, Maximo, and Primavera.
  • Must be able to effectively plan work in SAP.
  • Must be able to effectively schedule work in Primavera.
  • Must be legally authorized to work in the United States on a permanent basis without visa sponsorship (U.S. citizen, U.S. Permanent Resident).

Nice To Haves

  • Higher education credentials are preferred (University, Technical College, Trade School, etc.).
  • Previous experience as a planner and or scheduler is a benefit.

Responsibilities

  • Build and continually update a Work Execution List (a prioritized list of work with assigned schedule weeks) in collaboration with the PMC and the existing backlog.
  • Communicate with the Maintenance Supervisor to obtain resource availability for the scheduled week (resource outlook).
  • Build the Preliminary Weekly Maintenance Schedule (with crafts, days, start/stop times for each job/task, and planned costs) based on due dates, priority, and efficient work execution by area with the objective of having the most productive schedule for Maintenance for the week, including estimated cost for the week to allow for decision making from the management team.
  • Issue a preliminary schedule (Work execution list) for review from other site teams (e.g., Ops, Lab, HES, etc) and modify the scope of the work execution list based on that feedback.
  • Use Primavera as the scheduling tool integrated with SAP, to ensure all information is available, traceable, and accurate.
  • Ensure Preventive Maintenance work orders are tracked in SAP and include them in the weekly schedules to maintain the highest level of PM compliance.
  • Lead and facilitate a weekly schedule meeting to review the preliminary schedule, optimize it, and target 100% schedule compliance.
  • Based on feedback on the maintenance schedule, revise the scheduled workweek to target 100% schedule compliance (i.e., optimize work).
  • Publish the weekly schedule (with crafts, days, and start/stop times for each job/task), including the planned cost for the week, to enable management tracking.
  • Revise and re-level Daily Schedule, as needed, based on updates from PMC and Maintenance Supervisors.
  • Process work orders properly, ensuring status codes are correct to indicate the work as scheduled with the correct schedule week revised.
  • Update schedule weeks, as needed, as part of PMC support.
  • Participate in the HDIG meeting to understand how well the weekly maintenance schedule was met and determine why work on the weekly schedule was not executed.
  • Keep track of reasons for delays, pushes, or cancellations of work, using appropriate coding in Primavera to allow for tracking and analysis of the data.
  • Keep up with the Manpower Metrics spreadsheet to calculate Resource Utilization and Schedule Compliance indicators (and Schedule Effectiveness) weekly, and communicate these metrics accordingly for inclusion in the M&R dashboard in SharePoint.
  • Support unplanned outages, turnarounds, or pit stops, providing work schedules and work lists to allow for optimization of resources and execution efficiency.
  • Manage PM Orders without assembly codes, but ensure they are scheduled within the month before they expire.
  • Actively coordinate with PMCs to ensure PMs without assembly codes requiring downtime are properly scheduled, executed, and closed within the month of expiration.
  • Regularly track, analyze, and communicate PM compliance (%) achieved on a weekly basis, identifying trends, risks, and corrective actions to maintain the site's PM compliance target.
  • Own the maintenance and upkeep of schedule alignment between SAP and Primavera, ensuring: Schedule weeks match between both systems, Work order start/finish dates are synchronized, Resource loading and any critical milestones are mirrored accurately.
  • Perform routine audits to identify and correct misalignment between SAP and Primavera schedules to support reporting accuracy and execution reliability.
  • Review each week the small group of notifications prioritized by the PMC as a planning priority.
  • Process work notifications and work orders properly, ensuring status codes are correct.
  • Discuss and understand the notification scope, interacting with the notification issuer and/or maintenance craftsmen to understand history, deficiencies, special requirements, and possible initial troubleshooting.
  • Create Work Orders using appropriate codes according to the type of work, such as the maintenance work center.
  • Visit the job site and scope out the job by taking pictures, creating drawings and sketches, and assembling a bill of materials. Walking down the job with a craftsman may be required.
  • Upload pictures and documents to the server and/or SAP.
  • Enter plans into maintenance work orders by developing a well-defined list of tasks with an adequately detailed scope of work, including all necessary steps required to perform each task and complete the work order in the safest and most efficient manner.
