About The Position

As a Plan Document Specialist , you’ll play an important role in helping us offer customized, self-funded insurance options to our clients and members. The Plan Document Specialist is responsible for drafting, revising, and maintaining summary plan descriptions (SPDs), benefit summaries, and related regulatory documents for clients’ employee health and benefit plans. This role supports accurate documentation of self-insured healthcare plans by applying established regulatory guidelines, templates, and internal standards. The Plan Document Specialist works within defined procedures and collaborates with internal teams, brokers, client representatives, and stop-loss carriers. Complex plan designs, regulatory interpretations, or non-standard requests are reviewed with leadership or senior subject matter experts.

Requirements

  • Bachelor’s degree in business, Healthcare Administration, Legal Studies, or a related field (or equivalent experience).
  • 2–3 years of experience in benefit plan documentation, compliance support, or plan administration.
  • Working knowledge of healthcare plan documents and self-insured benefit structures.
  • Familiarity with ERISA, ACA, COBRA, and HIPAA requirements.
  • Proficiency in Microsoft Office and document management systems.
  • Strong attention to detail, organization, and written communication skills.

Nice To Haves

  • Experience with TPAs, stop-loss carriers, and brokers preferred.

Responsibilities

  • Draft and update Summary Plan Descriptions (SPDs), Summaries of Benefits and Coverage (SBCs), and related documents using approved templates and guidelines.
  • Apply federal regulations (ERISA, ACA, COBRA, HIPAA) and internal compliance standards, escalating complex issues as needed.
  • Assist with plan amendments and documentation updates in collaboration with internal and external partners.
  • Review plan design inputs to ensure documentation accurately reflects approved benefit structures.
  • Maintain the electronic plan document library, including version control.
  • Respond to routine plan document questions and provide support within defined guidelines.
  • Monitor regulatory updates and assist with document revisions as directed.
  • Participate in process improvement and document standardization initiatives.
